Job Title: Clerk to Governors

Salary: Grade 5:

The Appointed person will have a challenging role acting as clerk to Governors. The Clerk will need to be enthusiastic, confident, well organised with exceptional organisational and IT skills together with a can do attitude towards meeting the aims of the Governing Body

The Clerk will provide organisational, advisory & clerical support to the Governing Body. They will be expected to provide an effective operation supporting the chair of Governors to produce termly agenda’s, record and produce minutes. Advise the governing body in regard to statutory matters.

Main Duties

Administration

  • To prepare agenda in consultation with the head/chair of Governors, taking into account items from LEA, DfES etc
  • Ensure statutory and standard items appear on agenda at appropriate time. eg: election of chair, approval of budget etc
  • Ensure other papers are available on time to send with the agenda, eg: Head’s report, minutes
  • Send out agenda and supporting papers to all governors, head and others as required within statutory time limits
  • Attend governor meetings (usually 2 per term held in the evening) extra meetings may be required from time to time.
  • Advise the governing body on procedural and constitutional matters within the school government regulations and instrument of government
  • Minute meetings, recording accurate decisions, prepare draft minutes for approval by the chair, amend if necessary and distribute minutes in accordance with any time agreed by the governing body. Ensure copies of minutes are available for the public.
  • Action any minutes and act as correspondent on behalf of the governing body, if required.
  • Maintain accurate records of attendance of governors at meetings. Advise absent governors of date of next meeting.
  • Ensure that the chair receives correspondence if received by clerk, and to inform all governors of relevant communications as promptly as practicable.
  • Inform governors, head, LEA etc of vacancies arising on the governing body and expiry terms of office. Ensuring nominations/appointments/elections are made. Notify the requisite authorities of failure to attend meetings, which may lead to disqualification. Notifying the LEA of appointments to ensure accurate database is maintained
  • Act as link between the LEA and governors to obtain advice as needed.
  • Attend briefing sessions provided by the LEA and other training courses as are suitable
  • Ensure maintenance of a register of business and pecuniary interest, and its review annually.
