KEY PURPOSE

This is a new role, created to assist both properties in increasing their events/functions income, as well as raising their public profile. The successful applicant will work with the respective Property Managers at Greenbank Garden and Holmwood to implement and develop the business and marketing strategies.

The main purpose of the role is to drive functions and events income by identifying new methods of utilising the property’s assets and to review the current offering. Secondary to this will be raising the profile of the property, mainly by increasing social media engagement with our target audience.

Responsibilities include coordinating events; responding to enquiries; attracting new business; administration of social media platforms; recruiting event volunteers and administering a rota system.

CONTEXT

Greenbank Garden

Less than a mile from the suburban bustle of Clarkston on the south side of Glasgow, Greenbank Garden is a tranquil celebration of the gardener’s art.

Greenbank House and its walled garden were built for Robert Allason in the 1760s. In 1962, the estate was purchased by William Blyth, who set to work transforming the garden into the design you see today. In 1976, William gifted Greenbank House and Garden to the NTS.

The property has a range of facilities on offer for events and functions, including a spacious lawn area (ideal for external entertainment and marquees); a beautiful walled garden; tearoom/events space and the Coach-House – currently used for private parties, yoga/mindfulness retreats and art exhibitions.

Holmwood

Lying just a few miles from the centre of Glasgow, this unique villa has been described as Alexander 'Greek' Thomson's finest domestic design.

It was built in 1857-8 for James Couper, a local businessman. Many rooms are richly ornamented in wood, plaster and marble. Thomson's original room decoration, based on themes from the classical world, is being uncovered and visitors may follow the progress of this continuing conservation work.

2017 sees Holmwood celebrating the bicentennial of ‘Greek’ Thomson’s birth and there is already an exciting programme of events planned. The property will benefit from additional restoration work currently being carried out to restore the decoration of both the dining room and hallway.

Holmwood benefits from extensive lawn space over two areas, along with beautifully decorated internal spaces, ideal for private functions and public events. Already planned for 2017 –a launch party in April to coincide with Thomson’s birthdate; animation workshops; an outdoor film festival; a ‘Greek’-themed garden party plus two major installations of temporary public art works.

KEY RESPONSIBILITIES

The Key Purposes of the Job will be met by:

  1. Responding to enquiries – The post-holder will be the first point of contact for all events and functions enquiries with responsibility for providing potential clients with hire information and holding site meetings as appropriate.
  2. Developing new ideas– The post-holder will be expected to assess the current events/functions offering and make recommendations for improvements to the Property Manager.
  3. Business development – The post-holder is expected to be pro-active in creating new event ideas and attracting new functions clients.
  4. Event co-ordination – The post-holder will be tasked with ensuring that all events are well planned and run smoothly. They will be supported in this by the Property and Duty Managers.
  5. Financial management – The post-holder will be given a set budget for events by the Property Manager and will be tasked with ensuring that events are profit-generating and that potential for financial losses are mitigated by contingency planning.
  6. Audience development - The post-holder is expected to increase the public profile of the property by driving traffic to social media channels and facilitating dialogue with the target audience. They will also be expected to identify additional, cost-neutral methods of public engagement.

The current duties of this post do not require a criminal records (Disclosure Scotland) check to be carried out. This post requires occasional evening and weekend working.Actual days of work to be agreed with Property Managers on a monthly basis.

SCOPE OF ROLE

People Management

  • The post-holder will have no direct people management responsibilities except for administration of event volunteer rotas. Volunteers will be managed on the day of the event by the Duty Manager. In the event of the post-holder being required to undertake Duty Manager responsibilities, full training will be given.

Finance Management

  • Expenditure budgets for events and functions will be agreed with the Property Manager in advance, with the post-holder responsible for adhering to the agreed expenditure. Income targets will be agreed with the Property Manager and responsibility for achievement of these targets will be shared between the Property Manager and the post-holder.

SKILLS, EXPERIENCE & KNOWLEDGE

Essential:

The above outlines the key skills the job-holder will need to possess and exercise. In addition, the following is required:

  • experience of events administration and co-ordination;
  • competence and self-sufficiency in IT (principally Microsoft environment);
  • experience of development of social media platforms;
  • good organisational skills, deployable in a multi-tasking environment;
  • ability to work as part of a team;
  • ability to work within tight budgets;
  • ability to work autonomously and proactively;
  • be comfortable working in a sales environment; and
  • possessingstrong financial management and commercial awareness.

Desirable:

  • experience of developing functions income;
  • experience of volunteer recruitment; and
  • knowledge of the local area.
