POSITION DESCRIPTION

JOB TITLE:Development Coordinator

STATUS:Non-Exempt

SUPERVISOR:President Board of Directors

SUMMARY: Provide administrative support to the President of the Board of Directors as well as other Board membersto advance Planned and Major gift fundraising from individuals and to support the overall goals of The Episcopal Foundation of Northern California(EFNC or The Foundation). Effectively coordinate the activities and projects of the EFNC in conjunction with the other departments within the Diocese and the Office of the Bishop. Work assignments are to be accurate, complete and current and may involve highly sensitive and confidential information.

ESSENTIAL RESPONSIBILITIESAND DUTIES:

1.Manage and coordinate the daily activities of the EFNC in a manner which enables Directors to focus directly on implementing EFNC Programs throughout the Diocese. Provide administrative support including, but not limited to,answering telephones, word processing, maintaining files, database management, ordering supplies, meeting/greeting visitors and other office tasks. Anticipate and complete office duties with minimal supervision.

2.Maintain effective working relationships with Board Members, Diocesan staff including but not limited to the Bishop, Diocesan staff, other Directors, Managers, Administrative Support staff and donors, prospective donors, and Diocesan parishioners.

3.Handles processing of stock gifts, reconciles Diocesan stock gift bank account on monthly and annual basis.

4.Works closely with the Canon for Administration and Finance, the Controller, as well as Accounting Departmentto administer deposits, in a timely manner, and maintain department fund records in auditable form.

5.Coordinate and support special events and workshops, including registration, mailings, hospitality at events, thank you letters, etc.

6.Takes minutes and distributes on a timely basis for all EFNC Board Meetings. And other committee meetings as assigned.

7. Monitor EFNC budget by keeping President informed of monthly expenses of EFNC programs and Directors against forecasted budgets.

Provide critical support for The Foundation by ensuring daily, weekly and monthly reports are received and reviewed detailing gift processing, gift recording, gift acknowledgment, gift crediting and EFNC activities, including but not limited to the maintenance of accurate, complete and current donor information.
  2. Assist the EFNC by ensuring all correspondence from the Department is accurate, complete and current with a goal of zero tolerance for grammatical mistakes and misspellings.
  3. Participate in distributed EFNC projects and as a member of a team of the EFNC supporting all members of the Board of Directors.
  1. Database Management - In conjunction with Diocesan Staff as needed, maintain a database to include all required lists and list serves for groups and committees of the Diocese and ensures that relevant lists are entered and maintained on the staff website.

EDUCATION, EXPERIENCE, KNOWLEDGE, SKILLS, AND ABILITIES

Required:

  • High school degree.
  • Minimum of five years experience in an administrative role of considerable responsibility in a fast-paced executive office environment.
  • Ability to work quickly and accurately in a fast-paced environment.
  • Ability to multi-task with minimal supervision.
  • Highly organized and able to help others organize to follow-up and complete tasks.
  • Ability to maintain strict confidentiality with information.
  • Finely honed diplomatic and interpersonal skills.
  • Highly proficient in MS Office applications to include Word, Excel, PowerPoint and Outlook, and to learn additional programs as needed to increase efficiency.
  • Flexible, adaptable, and able to work beyond normal working hours with short notice.
  • Strong professional and personable oral and written communication skills.
  • Discretion, tact and sound professional judgment.
  • Ability to work independently and as a team member.
  • Must have attention to detail skills and must be thorough in work product.
  • Outstanding telephone manners and skills.
  • Ability to juggle several tasks simultaneously, communicate and prioritize to meet deadlines
  • Willingness to work some flexible hours (including occasional evenings and weekends)
  • Ability to travel to offsite Board Meetings as needed

Preferred:

  • Two or four year college degree
  • Knowledge of database systems
  • Knowledge of the Episcopal Diocese of Northern California and Planned Giving fundraising
