Post Title: Referrals and Placements Coordinator

Section:Corporate Services

Terms:Equivalent to NJC Point 28 – 32 (£24,472 – £27,924)

Salary is based on a 37 hours per week contract however actual hours worked will be arranged to best meet the needs of Birtenshaw.To work on a flexible basis this may include some evening work to attend meetings.

Holiday Entitlement: 22 days plus 8 public holidays

Report To:Director of Education and Care Services (subject to possible change)

Overall Purpose of Job

To oversee the referrals process from the initial point of contact to securing a placement

To maintain a register of all referrals made

Key Responsibilities and Skills

To review and respond to all referrals received by the organisation

To track the referrals process from initial point of contact to placement, ensuring all documentation is in place

To coordinate compliance aspects of Ofsted documentation

To collate information on changes to care regulations and inspection frameworks and ensure this information is disseminated amongst staff, including delivering training

To fully utilise IT facilities and modern technology

To comply with the organisation’s administrative and financial procedures

To maintain the highest standards of professionalism in line with occupational and organisational Codes of Conduct

Key tasks

  • To be the main point of contact for dealing with the administration of referrals. Ensuring all steps after the initial referral prior to admission are in place and tracked.
  • To collate information regarding the number and types of referrals received
  • To collate monitoring information as requested by local authorities and required by any of Birtenshaw’s Framework Agreements
  • To oversee quality assurance processes
  • To ensure Birtenshaw maintains an up to date quality assurance framework
  • To coordinate all compliance aspects of Regulation44 reports, Regulation 45 reports and Statement of Purposes
  • To coordinate all compliance of overarching frameworks and national guidelines for relevant services.
  • To monitor responses to Regulation 44 reports to ensure that all requirements and recommendations have been addressed
  • To deal with the administration of :

1..2Ofsted reports

1..3Ofsted variation applications

  • To collate information on changes to care regulations or inspection frameworks, including guidance provided by Ofsted or Care Quality Commission
  • To provide training in relevant legislation to other employees
  • To lead on the organisation’s application for quality awards
  • To maintain confidentiality at all times
  • To minute the weekly Care Services Briefings

  • To engage in continuous professional development opportunities

General

  • To observe Health and Safety at work regulations and to report any cause for concern to the Director of Finance and Central Services
