The Dag Hammarskjöld Foundation was established in 1962 in memory of the second Secretary-General of the UN. About the Programme Administrator position:

Duties

Responsibilities include:

  • Support the ED and the Chair of the Board of Trustees in the work related to Board activities, including logistics, preparation of material, communication with partners, and writing and editing of meeting reports.
  • Support Programme Managers in planning, implementing and follow up on programme activities, such as logistics, preparation of material, communication with partners and writing of meeting reports.
  • Support the ED with administrative matters, such as external communication, drafting concept notes and reports as well as minutes from staff meetings.
  • Function as focal point for IT-related matters and provide technical assistance when needed, e.g. teleconferences or Skype calls for conferences and meetings.
  • Other administrative tasks, including:
  • General correspondence via mail and the ”secretariat/general” e-mail account.
  • Administration of contact lists and databases.
  • Keep track of and archive documentation regarding events.
  • Manage shared contacts and address book.

The PA, together with the Office Manager, also has a shared responsibility for:

  • Answering the office phone and receive visitors.
  • General office duties, such as post, DHF main archive, help arranging for meetings at the Foundation, minor purchases.

The PA reports to the Executive Director and consults with Programme Managers.

Education

Relevant academic degree.

Work experience

Minimum 2 years of relevant working experience.

Technical skills

Good knowledge of working with Microsoft Office (Word, Excel, Outlook).

Language skills

Excellent language skills in Swedish and English, oral and written.

Personal characteristics

Cooperative, positive and adaptable with a strong sense of responsibility. Good judgment, caring, structured and detail-oriented. Follows procedures and policies, vigorous, achieving and coping with pressure.

The position requires daily work at the Foundation’s headquarters in Uppsala. This is a fixed-term position of 2 years.
