POST:Recruitment Officer

RESPONSIBLE TO:Lead Recruitment and Selection Specialist

SALARY:NJC SP 25 – 29, Inner London (£25,067 - £28,224 per annum) +Local Government Pension Scheme)

LOCATION:Oasis National Office, London

WORKING PATTERN:Full time – 37 hours per week, 52 weeks per year

JOB PURPOSE:

To provide an efficient, effective, professional and comprehensive ‘frontline’ recruitment service to Oasis academies and National Office teams to ensure the best possible candidates are recruited and retained so they are able to deliver excellent outcomes for our pupils.

The Recruitment Officer will be the first point of contact for candidates and hiring managers and will be responsible for the coordination and administration of vacancies from inception through to hand-over of a finalised applicant pack (all completed pre-employment checks) to local managers / the HR Administrator to draft contracts and new starter paperwork.

SPECIFIC RESPONSIBILITIES:

A.Recruitment Marketing

  • To draft copy and design adverts, application packs and other relevant marketing materials that are accurate and relevant, pleasing to the eye, and sell the organisation and its benefits in order to attract the best possible applicants for vacancies
  • To post adverts and marketing materials on the various job boards and recruitment media channels in a timely and accurate fashion ensuring the best possible exposure for vacancies
  • To liaise with external advertising agencies when required, ensuring all OCL adverts are placed, considering manager’s requests/needs, media costs/effectiveness and budget constraints
  • To post vacancies on the OCL website and ensure the site is kept up-to-date, removing vacancies once expired
  • To keep an up-to-date database of all relevant media contacts and agreed rates/prices and be responsible for sourcing new media and regularly re-negotiating rates to ensure we achieve value for money and the maximum number of relevant applicants
  • To monitor the effectiveness of different media in order to be able to advise hiring managers on the most effective option to source candidates for their vacancies
  • To utilise social media in order to gain traffic tovacancies and attract both passive and activecandidates. This will include the use of Twitter, LinkedIn and Facebook as and when deemed appropriate
  • To undertake other design and digital projects to build the employer brand and attract candidates to the organisation.

B. Vacancy Coordination

  • Tosupport managers in drafting job descriptions and person specifications, providing templates and advice as required
  • To coordinate the process of vacancy approval via the hiring requisition form, ensuring the correct information is obtained in a timely manner and that managers are kept well informed
  • To be responsible for the coordination of interview/selection logistics including room bookings, diary management, scheduling and preparation of relevant materials
  • To provide the highest levels of support and information to hiring managers throughout the process, including specific information on advertising, pre-selection tools and techniques and recruitment timescales
  • To be the first point of contact for candidates, creating a positive first impression and ensuring that all requests for recruitment packs and other general queries are responded to swiftly and professionally
  • To coordinate the shortlisting process, ensuring the hiring manager and selection panel have all required documentation, providing assistance and advice as necessary
  • To be responsible for interview set-up including finalising the schedule, calling candidates, sending invites and liaising with managers to ensure that all paperwork is sent prior to interview
  • To inform all applicants of the progress of their application either by phone or in writing
  • To be responsible for the creation and regular update ofdatabase’s and tracking systems in order to keep up-to-date records of both vacancies and applicants. To usethis data to organise workload, update managers and produce mail merge documents, statistics and other information as required
  • When required, to liaise with external recruitment agencies to source candidates for hard to fill roles.

C. Job Evaluation

  • To be trained in job evaluation techniques and be part of the panel undertaking the process
  • To co-ordinate job evaluation panels and ensure completion of the process within agreed time frames
  • To accurately record results from job evaluation and prepare statistics as required for managers and other relevant parties.

D. Compliance and New Starter Administration

  • Prior to interviews taking place, to undertake List 99 checks and send out reference requests for all shortlisted candidates
  • On the day of interviews, to take copies of candidates’ right to work and DBS check documentation, ensuring appropriate accuracy and storage
  • Following offer, to ensure all necessary pre-employment checks, including DBS, references, and waivers (where necessary) are carried out and recorded in accordance with regulations where appropriate
  • To act as the first point of contact for all DBS matters and maintain appropriate databases to enable systematic checking and monitoring of staff
  • To draft provisional employment offers in line with the OCL recruitment timeframe
  • To ensure accurate and timely handover to the HR/Payroll Administrator in order that they are able to draft contracts and process the new starter paperwork.

E. Recruitment Administration

  • To develop and maintain procedures and systems to ensure the efficient and effective running of the recruitment service
  • To be responsible for all recruitment related filing (including application forms and interview notes), ensuring relevant document is stored and later disposed of (both electronically and in hard copy) as per guidelines/legal requirements, and that files are kept up-to-date and orderly
  • To ensure records and information systems are kept accurately including the inputting and updating of information on appropriate computerised information systems
  • To be responsible for the administrative aspects of senior leadership recruitment for positions across OCL, and to provide logistical support during related assessment process if required
  • To provide administrative and logistical support for recruitment events as and when required
  • To ensure the timely processing of any relevant invoices relating to recruitment activities.

F. PA & General Team Support

  • To manage the diary of the Head of HR and organise meetings and travel itineraries
  • To assist the Head of HR with projects and case work as necessary
  • To attend and produce minutes when required for relevant meetings and hearings, ensuring high levels of accuracy at all times
  • To assist the HR/Payroll Administrator in processing paperwork and inputting information onto payroll
  • To undertake other tasks as required as directed by the Lead Recruitment and Selection Specialist and Head of HR
  • The nature of this post will require flexibility to meet urgent work needs as they arise. This will inevitably entail some work outside normal office hours. The job description therefore is not intended to be exhaustive. The post holder will be expected to adopt a flexible attitude to the duties which may have to be varied after discussion, subject to the needs of the service and in keeping with the general profile.
