Procedures for 6th Grade G/T Roster

  • The 6th grade G/T Roster can be found on the Advanced Academics Department website under “G/T Student Rosters”. Due to the fact that this is student data, only the principal and the designated G/T coordinator can access the rosters. You must be logged into the portal to access the document. If you are unable to access the rosters, your campus principal will need to email Clara Gerard, to designate the G.T coordinator for your campus.
  • Review the roster and all student data. Note that some students who are missing data and have the letter “M” in the Qualified/Not Qualified column have enough points to qualify for the Vanguard program. This data can be found in the column titled “Total G/T Identification Matrix Score.” If a student has enough points to qualify with the missing data, then the committee should mark the Qualified box and send home the appropriate letter. Other students may qualify if the missing data is collected.
  • Print the G/T Identification Matrix, front and back, for all students that qualify for the Vanguard program.
  • An Admission Committee Meeting must be held by September 7, 2012, to review each eligible student’s G/T Identification Matrix. Final selection of students will be made by this committee of at least three educators who have received training in the Nature and Needs of Gifted Students. Each member of the committee must sign the G/T Identification Matrix.
  • Schedule identified students into Pre-AP classes for each of the 4 core content areas (English, Math, Science, and Social Studies). The teachers of these courses must have their Pre-AP training as well as their G/T training.
  • Send the Opt In/Opt Out letter to parents by September 7, 2012. The letter must be copied in English, Spanish, and Vietnamese (front/back). The letters can be found on the Advanced Academics website under “Forms & Documents”. A copy of the Identification Matrix copied front and back must accompany the Opt In/Opt Out letter.
  • Letters must be returned to the school by September 21, 2012.
  • A G/T file must be created for each G/T identified student. The folder should include a copy of the letter indicating if the parent opted in or out of G/T services, the Identification Matrix, and the Entrance Agreement. This folder must be kept on campus for 5 years.
  • Code all G/T students in Chancery who havereturned the letter to opt in to the program and once the student arrives on your campus in Fall 2012.
  • Provide Vanguard program services to all G/T students who have opted into the program.
