Educational Visits Policy

Turves Green Girls School and Technology College plans to include educational visits into it regular curriculum.

The purpose of Educational Visits is to support the general curriculum, enhance the experience of the students and to expose them to a wider environment outside of the school gates.

To this purpose the school has appointed an Educational Visits Co-ordinator (EVC). The appointed person has attended the LA training course for such a position and holds a certificate of training. This certificate will be renewed every three years. Should the EVC change the replacement person will attend a certified course as soon as possible after taking up the post.

The Role of the EVC is to co-ordinate all trips and visits planned by the school and to ensure that any staff organising or taking part in a trip are fully aware of and follow the rules and regulations.

The school follows the ‘Policy and Guidance for Educational Visits and Learning Outside the Classroom’ guidance document that was issued by the LA in October 2014. A hard copy of this document is held by the EVC. This guidance can also be found on

This document details the stages required in the planning, risk assessment and financing of all types of school visits.

All trips must be approved by the Headteacher before planning can commence.

Staff planning trips will use the approved checklists as guidance and these will be checked and countersigned by the EVC before a trip can depart.

The EVC will check and countersign any risk benefit assessments relevant to each trip.

It should be noted that no child will be allowed to take part in a school visit without specific written permission from a parent or guardian. This permission must be on an approved form with all the appropriate details completed. The only exceptions to this being timetabled visits off site for the purposes of PE lessons or taking part in away fixtures for school teams. In these instances blanket permission will be obtained at the beginning of the school year.

The EVC will ensure that the guidance laid down in the ‘Policy and Guidance for Educational Visits and Learning Outside the Classroom’ document is followed. The EVC will provide training where required by staff both individually and as whole school CPD. The EVC will carry out checks to ensure that regulations are being followed before a trip takes place.

The EVC will make note of any changes to the ‘Policy and Guidance for Educational Visits and Learning Outside the Classroom’ document or any other guidance and ensure that these are communicated to staff organising trips. The EVC will ensure that the school’s policy on trips is amended when appropriate to reflect any changes in guidance.

The EVC will keep on file all paperwork appertaining to a trip once it is complete.
