Job Title:Programme Administrator

Reports to:Development Manager

Contract Period:Permanent

Location: The Lodge, Hook Farm Road, Norman Park, Bromley

Hours:15 hours p.w. 8am-11am, Monday-Friday

Salary: £9,020 (£22,250 FTE) + 2% Pension

Purpose of Job:To support the Development Manager to deliver a range of Day Opportunities in the community for disabled adults in Bromley.

Main Duties and Responsibilities:

-Producing monthly programmes for our Day Opportunities project to include a range of activities to promote independence and life skills. You will also source the resources required

-Planning the monthly rota for the Day Opportunities staff team

-Providing Day Opportunities booking information to the Finance Team, so invoices can be raised

-Producing a quarterly programme of activities for our fortnightly Saturday Respite Project, including booking sessional workers, arranging the staff rota and providing dates to families

-Answering calls at 8am from staff who are unable to work and finding replacement staff from our bank of PAs, to ensure our services can run as planned

-Responsible for unlocking the Lodge each morningto enable access for the cleanersand other staff

-Being first point of contact for staff working out of office hours. This responsibility will be shared with other staff on a rota basis.

-Monitoringlevels of cleaning materials, stationery, kiosk stock at the Lodge and re-ordering as required

-Keeping accurate records of enquiries for monitoring on the database

-Report regularly to the Development Manager on the progress of the above work

Person Specification

Essential

  • Experience of planning a successful programme of activities and overseeing all administration

(eg cooking, shopping, budgeting, healthy living, arts and crafts to enhance life skills and independence

  • Experience of sourcing resources for activities and working within a fixed budget
  • Excellent communication skills and telephone manner
  • Experience of using a database and of drawing down reports
  • Ability to use Word, Outlook, Excel and Powerpoint
  • Good IT skills and able to produce letters, reports and spreadsheets as required
  • Excellent communication skills
  • Excellent organisational skills and ability to prioritise workload
  • Flexibility
  • Ability to work independently and as part of a team.

Desirable

  • Experience of working with people with disabilities andtheir families and carers
  • Understanding of Care Quality Commission requirements
  • Ability to travel independently throughout the borough, preferably by car
