TERMS AND CONDITIONS

FOR BORROWING CLUB EQUIPMENT FOR NON-ICU ACTIVITIES

·  Persons wishing to borrow club equipment for non Imperial College Union (ICU) activities must be current members of Imperial College Union Outdoor Club.

·  All equipment borrowed must be signed out in the appropriate logbook.

·  Club members wishing to borrow equipment may take no equipment that is required for ICU Outdoor Club activities during the loan period.

·  The equipment officer / quarter master must be notified immediately of…

1)  All visible damage to borrowed equipment.

2)  All non-visible damage, no matter how small, to borrowed equipment (e.g. a lead fall on a rope).

3)  Any loss of equipment borrowed.

4)  Any reason why borrowed equipment can’t be returned immediately after use.

·  The club member borrowing equipment is responsible for paying the cost of mending / replacing any equipment damaged / lost, when ICU and / or ICU Outdoor Club funds are insufficient to replace / mend the item(s) of equipment. Club members borrowing equipment for non-ICU activities are therefore strongly advised to take out suitable insurance for the equipment they are borrowing. This is essential when travelling abroad. You must speak to the equipment officer / quartermaster if you are unsure about the value of the goods you are borrowing or if you have any queries about insurance.

·  ICU Outdoor Club accepts no responsibilities for injuries caused by the use of its equipment for non-ICU activities. It is the users responsibility to ensure the equipment is in safe working order before use and that the users are proficient in the use of the equipment. Outdoor activities can be dangerous and participants are strongly recommended to take out suitable insurance.

·  A returnable deposit may be required for the loan of club equipment for non-ICU activities. The deposit amount is decided at the discretion of the equipment officer / quartermaster and is normally dependant on the value of the equipment borrowed.

·  The equipment officer / quartermaster can issue receipts for deposits upon request. All deposits paid to the equipment officer / quartermaster should be entered into the logbook. Deposits can be paid in cash or by cheque.

·  Deposits will not be returned (and cheques cashed), at the discretion of the equipment officer / quartermaster, when…

1)  Some of the borrowed equipment is not returned.

2)  The borrowed equipment is kept for longer than agreed, preventing use of this equipment by the club or by other members.

3)  The equipment officer has to repeatedly chase up the return of the borrowed equipment.

4)  Some or all of the borrowed equipment is lost.

5)  Some or all of the borrowed equipment is damaged.

6)  Some or all of the borrowed equipment is not returned in the state it was issued (e.g. unclean trangia pots or rope not coiled).

·  Deposits are only returned when points 1-6 above are not applicable. Any person who paid their deposit by cheque will have his / her uncashed cheque returned to him / her. Any person who’s deposit can’t be returned, for whatever reason, when all the equipment they borrowed is returned, will be issued a receipt indicating the deposit amount and that it hasn’t been returned by the equipment officer / quartermaster. On refunding of the deposit at a later date the equipment officer / quartermaster must print paid on the receipt, date and sign it.

·  The current ICU Outdoor Club chairman or treasurer may act on the behalf of the equipment officer / quartermaster in his / her absence. In which case the words equipment officer / quartermaster in the above text should be read as ICU Outdoor Club chairman / treasurer.

·  Equipment officer / quartermaster in the above text refers to the current ICU Outdoor Club equipment officer / quartermaster and club refers to Imperial College Union Outdoor Club.
