  • Registration– Responsible for checking participants in and making sure they get all of theproper informationalhandouts.
  • Greeter– Conference greeters are the “first impressions.” It’s important for all of our attendees to feel welcomed and directed to the proper channels upon arrival. Greeters will be asked to wear providedorange vests, so that participants can easily distinguishyou.
  • Welcome Center– The Welcome Center is a place for attendees to be able to relax and takea break. Volunteers will greet participants as they arrive and request that they signin and keep the area tidy.
  • Volunteer Check-In– Responsible for checking in volunteers as they arrive for this shifts (including providing their name badges, info packets, etc.)
  • Speaker Check-In– Responsible for checking in conference speakers as they arrive and informing them of which room they will be presentingin.
  • Continuing Education Units (CEUs)– Responsible for monitoring conference attendees who are seeking CEU credits by stamping them in and out.

Confidentiality Agreement

NAMI California Confidentiality

NAMI California and its volunteers/student interns have an ethical and legal obligation to respect the privacy of our members/affiliates and to protect and maintain the confidentiality of all information that we learn about our members/affiliates, their family members and friends in the course of providing services to them. Information of a confidential nature is not to be discussed with anyone outside NAMI California and only discussed within NAMI California on a "need to know" basis.

Volunteers/student interns have a responsibility to avoid unnecessary disclosure of non-confidential internal information about NAMI California and its associates. This responsibility is not intended to impede normal business communications and relationships, but is intended to alert volunteers/student interns to their obligation to use discretion to safeguard internal NAMI California affairs. If a volunteer/student intern has any question in any situation, they should consult with their supervisor.

Member/Affiliate Confidentiality

Member/affiliate records are legally protected confidential records and must be treated as such. This means that member/affiliate records maintained by NAMI California must be kept in locked file cabinets at all times except when they are being reviewed or supplemented by an authorized volunteer/student intern. Member/affiliate records should never leave the office, except as permitted by NAMI California’s Confidentiality Policy.

Member/affiliate records and member/affiliate-related business (including the names of members/affiliates) should not be discussed with or disclosed to anyone except: co-workers who are specifically authorized under NAMI California’s Confidentiality Policy to have access to such information; your supervisor; the Executive Director; any person authorized by the member/affiliate to obtain information about the member/affiliate from the volunteer/student intern (any such authorization must be in writing in a form approved by the Executive Director and must be retained in the member/affiliate’s file); or any person with whom the Executive Director has authorized the volunteer/student intern to share the information. As tempting as it may be at times, it is illegal, unethical, and violation of our Confidentiality Policy for the volunteer/student intern to discuss member/affiliate matters with the volunteer/student intern's friends, spouse, relatives, or anyone else, except those persons listed above, unless the volunteer/student intern is ordered to do so by a court or otherwise required to do so by law. If someone is insisting on obtaining information from the volunteer/student intern about a member/affiliate, and the member/affiliate has not authorized the disclosure, refer the matter to the Executive Director.

Personnel Confidentiality

Volunteer/student intern records are confidential records and must be treated as such. Volunteer/student intern records maintained by NAMI California must be kept in a secure location except when they are being reviewed or supplemented by an authorized volunteer/student intern. Volunteer/student intern records never leave the office, except as permitted by NAMI California.

Waiver of Liability

To help protect NAMI California and to minimize liability, please read the following conditions thatapply to your service as a volunteer/student intern.

  1. I wish to volunteer my time, effort, and services as a volunteer to assist NAMI California and/or I am participating in an educational program whereby I am volunteering my time as part of an approved internship program.
  1. I have read and signed the volunteer handbook and polices of NAMI California I understand the expectations of me as a volunteer/intern and I promise to follow them.
  1. As a volunteer/intern, I donate my time, effort, and services to NAMI California and understand that I will receive no compensation in return.
  1. I recognize and understand that my volunteer/internship activities for NAMI California may expose me to the possibility of injury to my person and property and that I may suffer some kind of injury as a result of an accident and other unforeseen circumstances.
  1. I recognize that as a volunteer/student intern, I am not covered by any workers compensation or similar insurance that would pay my medical bills incurred because of any injury I may receive while performing services as a volunteer.
  1. Despite this risk of injury and lack of workers compensation or other medical insurance coverage from NAMI California, I knowingly and voluntarily waive any and all claims, actions, or causes of action against NAMI California and agree to hold the organization, its, agents, affiliates, and employees harmless for any injury or damage that I may suffer as a result of my activities as a volunteer/student intern for NAMI California.
  1. In return for my agreement to these conditions, NAMI California accepts my services as a volunteer/student intern.

By signing below I agree to:

  • Behave in a professional manner. To be described as not engaging in illegal drug or alcohol use, and not behaving in a way that is disrespectful, violent or aggressive.
  • Notify Serena Durand by email as soon as possible if I will be unable to volunteer due to unforeseen circumstances.
  • Not leave my post during my scheduled shift to attend any part of the conference such as the general session or workshops (rest breaks are allowed but you must inform your shift partner or NAMI CA staff).
  • I understand that NAMI CA will not be providing meals to volunteers.
  • Read and abide by the Waiver of Liability for Volunteers/Student Interns
  • Read and abide by the Confidentiality Agreement
