Program Assistant

The National Judicial Institute (NJI) is an independent, non-profit organization that coordinates and delivers judicial education programming to Canada’s judiciary. The NJI has approximately 50 permanent staff members and a number of Judicial Associates who provide part-time educational support to the Institute.

The NJI is a bilingual institution located in Ottawa but operating throughout Canada and internationally. Under judicial leadership, work within Canada focuses on the design and delivery of courses forming part of a broad education curriculum to judges across Canada together with supporting educational resources, such as an electronic library, electronic bench books and hard copy publications. Both in-person and online courses are offered. The NJI also offers an innovative computer training program. The international division is the executing agency for several international projects in the rule of law and judicial reform area. It also coordinates the Judicial Educators Network, which facilitates the involvement of Canadian judges internationally and the development of partnerships with overseas judicial education organizations.

The Program Assistant position is a full-time one year contract position with benefits.

Responsibilities

Working in a program delivery team which includes the Education Director and a Program Manager, the Program Assistant:

·  Provides administrative support in the planning, organizing, and delivery of NJI seminars;

·  Coordinates the registration process, including faculty, waiting lists and rooming lists;

·  Deals with general program inquiries;

·  Drafts correspondence;

·  Organizes conference calls;

·  Communicates with faculty;

·  Proofreads and publicizes conference information;

·  Prepares conference agendas;

·  Coordinates the preparation, translation and printing of materials;

·  Prepares name tags and tent cards and coordinates shipment of materials;

·  Provides logistical assistance at conferences;

·  Compiles course evaluations and;

·  Performs other duties as required.

Qualifications

·  Fluency in both official languages (verbal and written);

·  Post-secondary education or comparable work experience;

·  Experience in conference administration or related office experience are definite assets;

·  Proficiency with office computer software such as Microsoft Office Suite; and

·  Experience with web applications an asset.
