2015 Executive Committee Meeting

Call to Order: SWAT President Christina Parlapiano called the Executive Committee Meeting to Order at 6:14PM.

Minutes of the June, 2015 Executive Committee Meeting were approved as amended.

Report of Corresponding Secretary: None

Report of Treasurer: Linda reported the financial status as of July 21, 2015.

After accounting for checks and vouchers for the USDAA and AKC Trials in June, Linda reported net profits:

USDAA June Trial: $2,028.63 .

AKC June Trial: $11,236.25

Committee Reports

1. Status of July Fun Match: Karen reported a huge success; lots of positive comments. Thank you to Linda Kipp for course design, the Fun Match Committee for their efforts and the participating handlers. Couldn’t have done this without a great deal of encouragement and cooperation for everyone. With 67 dogs participating, more than 231 Runs were made and over 30 volunteers stepped up to help. Total income was $966. After expenses, the net profit was $407.79.

2. September AKC Trial: Donna reported that Lisa has sent the obstacle list to the judge. Linda needs to know what is preferred by workers: vouchers or checks. The food vendor list has been sent to Annie N. Donna will give the Role and Responsibilities to Dee to use as a checklist for Trial details. List of auction items is needed. Ellen is making a list of auction items (SWAT surplus equipment). This list is needed at the next EC Meeting so pricing can be done. It was suggested that pictures of the items be taken for posting on the SWAT website prior to the auction and on the individual auction papers, day-of auction.

3. November NADAC Instructional Fun Match:Karen reported these positions filled:

Clint Wolf and Dee Falk have offered to compile a one page informational sheet about NADAC which will go to the Match participants. Several other people have volunteered to help. The main concern is growing the interest in NADAC with new handlers.

The Premium outline was approved and will be sent to the website as soon as Karen and Gayle review it.

4. November USDAA: Margaret reported that the Test was fully staffed. She needs to be sure that Hospitality has connected with the judge and that the judge receives the equipment list 2-3 months before the Test. The UNM students will be used as workers; cost to be determined. Workers will be needed for only 1 Ring on Friday, but 2 Rings on Saturday and Sunday. Only 5 UNM students will be needed for each Ring.

5. January AKC: Donna reported the date was approved, the judges are Dale Mahoney and Jan Skurzynski and that the Premier Classes (1 Jumpers and 1 Standard) will be offered. Discussion concerning the schedule for Classes and days offered. The Dairy Barn will be rented for parking.

6. February USDAA: Christy reported that no judge has been secured as of yet, but it was suggested that she contact Dale Mahoney, new USDAA judge. Linda K is Chairman and Christy is the Trail Secretary. This Test will be held at Cinder Lane Dog Agility Center the first weekend in February.

7. May NADAC Trial and Group Renewal Application: Karen received the check ($25) and completed the Application for the SWAT NADAC Sanctioned Group Renewal. It is an annual fee and will cover 2016.

Discussion concerning the Spring Trial dates: The Rio Grande Dog Show and Obedience Trial at the Fair Grounds will be May 13-15, 2016, therefore there is no conflict with a NADAC Trial, May 7-8, 2016 (traditional SWAT NADAC Trial dates). With the Trial Chair and Secretary in agreement, the date for the NADAC Spring Trial will be May7-8, 2016. Karen will contact Pam to complete the Application and secure a judge.

Unfinished Business

  1. June AKC After Trial Report: Donna thanked the Trial Committee and workers. She reported that parking was an issue, but crating seemed to be manageable witha few conflicts, however everyone was accommodated with space to spare. Microphone issues were discussed.

2. Equipment List: Linda emailed Equipment Lists, noting what equipment each type of Trial would need. Ellen is compiling a complete listing of all the equipment SWAT owns.

3. Professional Secretaries: Volunteer Trial Secretaries will continue until July 2016. This includes the fees and equipment presently in effect for SWAT volunteer Trial Secretaries. On July 1, 2016, SWAT will transition to Professional Trial Secretaries. Any person wishing to be a Trial Secretary for a SWAT may submit a contract to that affect at any time, but it will not be effective until July 1, 2016.

New Business

1. Purchasing Additional New Equipment: It was recommended that a few wingless single jumps be purchased or some of SWAT’s existing wingless single jumps be kept. SWAT will keep 12 wingless single jumps for use in AKC and NADAC Trials.

Obstacles to be purchased: 1-AKC double and 1-AKC triple (jumps) 3-USDAA regular spreads and 1-USDAA extended spread (jumps)

Recent purchases: chute and folding chairs.

Purchases pending: 3-15ft tunnels and 3-20ft tunnels; 10 pairs of sandbags.

It was discussed that Joan Frye makes sandbags; this is possible source for this purchase.

2. Vouchers: It was noted that there is no written job description for the new position of Procurement Equipment Manager. Christy will write a job description with compensation to be added to the Roles and Responsibilities, Voucher Schedule and be given to Coleen.

Site Coordinator vouchers were discussed. Motion: Linda moved that the Site Coordinator would receive $50 per day for the Trial dates. This replaces the blanket $150 for a Trial weekend. Margaret seconded; Passed.

3. Contracting EXPO Dairy Barn Parking: Discussion concerning renting the Dairy Barn at EXPO for parking at Trials. It will be rented.

4. Membership List: There will not be distribution of SWAT’s membership list due to privacy and security concerns. Contact information will be given to key Trial Committee members as they require.

5. Fun Match Voucher Incentive: Karen requested compensation for the Fun Match Secretary due to the heavy workload before, day-of-entries and financial accounting afterward. Motion: Linda moved that Fun Match Secretaries receive $50 compensation per Match, either check or vouchers. Second; Passed.

6. Potential Agility Trial Sites: Jane Winkler found an indoor horse arena in Moriarty (Rockin Horse Ranch). There is a website "Rockin Horse Ranch"; phone number is 505-832-6619 or 505-301-3772. A second site is 4 Winds Equestrian Center 25 miles south of I-40 at Tijeras exit. Phone number is 505-384-1831.
