Reports

Print Database reports

  • Click the word REPORTS on the gray navigation bar toward the top of your screen.
  • In the first section called, “Report Filters”
  • In the box that says: STUDENT LOCATION, select the location that you would like to pull a report for.
  • In the box that says: TRAINING CLASS, select the class you would like to check.
  • Mark the appropriate participants POSITIONS for whom you would like to check

-Priest, employee or volunteers, etc.

  • Mark which CLASS STATUS you would like included in report.

-Generally, you will include all statuses.

  • At the bottom of the screen, click GENERATE REPORT.

  • Under the “Report Fields” Section you may select which information is included in your report. Including:
  • Policy Acknowledged Date – will track sign-off on The Policy for the Prevention of & Response to Sexual Abuse, Sexual Misconduct & Sexual Harassment.
  • Background Check Status

Reading Reports

  • You will see a list of all registered participants for that location that match the Report criteria you selected.
  • On the far right side of the screen you will see a column called, “Training Status”
  • In order for a participant to receive credit for a class, this column must read “Confirmed”
  • If it reads “Missed” then the person registered but did not attend /show-up.
  • If it reads “Pending” then the trainer has not had the chance to confirm attendance yet; check back in a week or so.
  • If it reads “Waiting” it means they registered but were put on the waiting list. If they did attend, their status will be changed to “Confirmed”.

Compliance Reports

You may also check the compliance of all participants in your school or parish.

  • Follow directions to “Print Database Reports” above and
  • Select all classes in the TRAINING CLASS Box;
  • Check the CURRENT COMPLIANCE STATUS box;
  • Click the box: GENERATE REPORT.

Participants Who Appear On Your Report But Are Not From Your Location

Participants may show up on your report who are not part of your parish/school community.

This will happen for one of two reasons:

  • The participant was a member of your parish/school community but is no longer (ie—moved, retired, switched parishes, etc).
  • The participant accidentally selected your parish/school when setting up their profile.
  • If a participant was a member of your community but is not any longer, you may correct your report by simply marking that participant as “INACTIVE.”
  • Look up participant and open their profile (Participant Management)
  • Click the link “Locations”
  • For your specific location “St. Thomas More School – Lynnwood” click the pencil icon to the right (this will allow you to make changes).
  • To the right of the school name you will see a box that says “Active”
  • Select “Inactive” from the drop-down box.
  • Click the icon that looks like computer disk to save the change.
  • If a participant is listed on your report but has NEVER been a member of your parish/school community, please notify the Safe Environment Program at .
