Role Overview:
Data61 is the largest data innovation group in Australia. The role of the Business Development and Commercialisation (BD&C) Coordinator provides broad administrative support to the Business Development and Commercial function in Data61. This involves providing practical support to the BD&C team on dealing with issues and interactions with key stakeholders and external parties. In conjunction to this, the role coordinates material needed for events, reports, proposals, reviews, retreats and meetings. The role also assists in the coordination of domestic and international travel arrangements for the BD&C team.
The role requires someone with excellent communication skills in order to prepare and assist in the preparation of technical documents and presentation materials including monthly reports, proposals, and other promotional materials. The BD&C Coordinator will build strong working relationships with various Data61 Business Managers and Support team members.
Duties and Key Result Areas:
Issues Management
·  Provide practical support to the BD&C team on dealing with issues and interactions with key stakeholders and external parties
·  Ensure prioritised issues for the BD&C team attention are effectively managed
·  Prepare and review correspondence and reports that deal with routine matters
·  Monitor and follow up on issues that need to be drawn to the BD&C team’s attention in a timely manner

Coordination and Event Management

·  Coordinate material needed for events, reports, proposals, reviews, retreats and meetings or to respond to information requests
·  Manage or contribute to administrative projects or issues as necessary (e.g. event management, Bid desk activities, Opportunity to Delivery project, invoicing and financial processes, proposals, contracts etc.)
·  Coordinate internal and external meetings or other events, including booking rooms, resources, travel, transport, equipment and catering
·  Prepare meeting minutes, or status reports for major accounts and initiate follow‐up action.
·  Attend events as required by BDC team (this may require interstate travel) to provide support in setting up booths, coordinating collateral, liaising with event staff, manning booths, packing up and follow up actions
·  Provide general administrative support for team activities

Compliance

·  Establish and maintain electronic document management systems in accordance with CSIRO’s record management standards
·  Maintain registers/logs related to specific operational requirements relevant to Data61 operations
·  Identify BD&C team training gaps in systems/processes and propose solutions

Communication

·  Draft routine responses and correspondence, and monitor follow‐up actions
·  Develop and maintain functional networks to facilitate effective operations
·  Prepare or assist in the preparation of technical documents and presentation materials including monthly reports, proposals, conference flyers and posters, and other promotional materials.
·  Liaise extensively with Data61 Business Managers and support team as necessary to carry out duties
Travel
·  Assist in or coordinate domestic and international travel arrangements for the BDC team as required
·  Acquit travel expenses, and reconcile credit card statements, process payments, and raise invoices for BD&C team as required
·  Duties may require some interstate travel.
Office Efficiency
·  Assist in the maintenance office supplies and equipment for the site/office/unit
HSE
·  Coordinate HSE matters (e.g. safety contacts) on behalf of the BD&C team
Selection Criteria:

Pre-requisites:
·  Demonstrated experience in providing administrative support to a busy team in a fast paced and complex environment.
Essential Criteria:
1.  Demonstrated strong proficiency in Microsoft applications including Word, PowerPoint, Outlook, Excel and in using enterprise wide business systems (such as TRIM, Confluence, Sharepoint, Opportunity to Delivery (O2D), SAP, and/or travel systems) to manage workflow processes and on‐line transactions.
2.  Demonstrated ability to work effectively in a team, positively contributing to the team environment, establishing effective interpersonal relationships with a wide variety of people.
3.  Strong organisational skills, ability to prioritise demands, and escalate issues when required.
4.  High attention to detail to assist in preparing or reviewing documentation for events, reports, presentation materials, financial information, data entry, etc.
5.  Demonstrated ability to professionally handle sensitive and confidential information, and use appropriate judgment and discretion.
6.  Ability to work independently under limited direction, show initiative and adaptability when managing competing demands to ensure all tasks are organised and followed up.
7.  Ability to quickly adapt to technological, structural and procedural changes and maintain professionalism and flexibility.
8.  Demonstrated experience assisting with the generation of complex business development contracts and the subsequent invoicing of the same.
