Front of House supervisor/Neeld Community and Arts Centre

Part-time 22.5 hours per week on a flexible basis

GRADE: SCALE 5 (22-25) £20,253.00 - £22,212.00

RESPONSIBLE TO: Programme Manager

1. OVERALL PURPOSE OF THE JOB

To provide a full efficient and professional Front of House service to all users of the Neeld community and arts centre: hirers, promoters, artists and the public. To be in charge of crowd management during events and performances and to ensure that the front of house team (stewards) is properly trained to all fire regulations and health & safety policies throughout the premises.

2. KEY TASKS

2.1 Liaising on a daily basis with the Box-Office Supervisor with regards to performances and ticket sales and make sure all audience questions and issues are dealt with appropriately.

2.2 Responsible for providing incidents reports to the Programme Manager when required

2.3 Responsible for being the main point of contact with the security system company, Wiltshire Fire Brigade and the bar when necessary.

2.4 Responsible for the rota of the team of stewards (casuals and volunteers) as well as training them on a regular basis on health and safety procedures, fire evacuation and customer service.

2.5 Responsible for representing the Programme Manager when not present.

2.6 Responsible for ensuring that the level of service and operation of the Neeld Community and Arts Centre is maintained at the highest standard, meets current legislation, good professional practice and complies with all statutory licensing requirements.

2.7 Responsible for liaising with the Box-Office Supervisor and the customer service assistants regularly and for ensuring all information about the show, artists and public access is shared by the two departments at the beginning of each shift.

2.8 Responsible for training regularly the team of stewards and make sure that the volunteers are looked after according to the volunteer’s scheme in operation for the Neeld

2.9 Responsible for ensuring the implementation of marketing supports within the designated areas in the venue and the foyer such as flyers, posters, banners and ensure all promotion information about coming performances are up to date.

2.10 Be creative and innovative to find ways to increase the income stream through the various sales opportunities.

2.11 Responsible for meeting with new volunteers and presenting them the scheme for Neeld Community and Arts Centre. Monthly meetings with volunteers and all front of house staff will have to be organised.

2.12 Responsible for ensuring the bar operator is maintaining an efficient stock control system for performances and is keeping a safe environment at all times in the new bar area.

2.13 Responsible for placing orders within financial limits as delegated to include front of house small equipment

2.14 Responsible for preparation of reports as required for any relevant meetings of a committee, sub-committee or working group.

2.15 Undertake the training required to qualify and maintain the knowledge and skills towards licenced premises/ fire evacuation and first aid practices and arrange training for other relevant members of staff.

2.16 Responsible for dealing with the audience enquiries and complaints making sure all relevant information will be passed to the Programme Manager

2.17 Act as a key holder of the building and being responsible for opening and locking up the building when necessary.

2.18 Responsible for evacuating the auditorium and toilets in case of fire evacuation and deal with the fire security company and fire brigade if necessary.

2.19 Must be available to work late and unsociable hours as well as weekends on shifts basis.

3. SPECIAL CONDITIONS OF SERVICE/POST

i Supervise the team of stewards on a day to day basis.

ii. Act as main point of contact for the public inside the auditorium.

iii. Attend meetings of committees, sub-committees and working groups out of normal office hours if required, on a time of in lieu basis.

iv. Be flexible to work during evenings and weekends

iv. Have a good experience with event management in the arts sector.

v. Be available, subject to operational requirements, to attend any

relevant training course.

vi. Have an understanding of, and a working knowledge of, bar management.

vii. Have a first-aid certificate and to have experience on acting as a fire warden

viii. Previous team management experience in arts/theatre and venues

5. HEALTH AND SAFETY

a. The postholder must take reasonable care for the health and safety of themselves and any other persons who may be affected by their work and report any hazardous conditions or practices which may cause injury to people or property.

b. To co-operate with the Town Council to help ensure that all statutory provisions and regulations are complied with including the health & safety, fire regulations, COSHH and licensing regulations.

7. OTHER DUTIES

The postholder will undertake any other duties required by the management of Chippenham Town Council which are applicable to the grading/nature of the post and which do not change the general character of the duties or the level of responsibility entailed.
