Minutes

1. Announcements

The Lab is working with UCOP and UCB on a strategy to present the Lab as part of UCB for the purposes of online journal access/subscriptions. The strategy includes the following points: the two institutions are integrated and collaborating in many respects; there are joint appointments and joint institutes.

Catalog updating is complete for monographs and journals. Links have been updated and corrected. These are now being monitored and kept up to date. The card catalog is 85% complete and should be all digitized by the end of this month.

Construction/renovation is nearly complete and the open house will be this Thursday, 9/27/07.

2. Reports Submission System Demo

This system is necessary for our contract compliance. There are two elements 1) Reports Coordination, to notify the Office of Scientific and Technical Information of the publication of all reports and 2) Patent Licensing, so patents may be pursued in a timely manner. US rights, are available for one year from the date of publication. For overseas rights, a record of invention must be filed before publication. Every paper must be reviewed by the Patent Group, and the group is committed to a goal of returning reviews within two-weeks. Publications will proceed on path with or without an LBL publication number. If you think your invention may need to be recorded, contact your division’s assigned patent attorney, within the Patent Group, as early as possible. There was a discussion about which version of a draft should be recorded, as many changes might occur after submission to a publication. There was also a discussion about when papers will get LBL pub numbers. If a paper goes to patents first, it won’t get a number. Corwin is to develop further information on this issue.

Jeff Willer demonstrated the system. There were a number of questions and issues. Scientists liked the status reports and search capabilities that patents will now have access to. Jeff said the system would be available for testing soon. Everyone was asked to email their comments to Corwin, so he can filter them and pass them on to Jeff. Corwin, Jane and Rosemary will discuss the issues around the first bullet point of the demo.

3. Integrated Library System

Mark Rosenberg provided a “sneak preview” of the system for a web-based catalog, which is currently in early testing status. Softlink provides a great search interface. It’s a hosted service, so the Lab will not be responsible for upgrades, hosting or maintaining it, but our records are owned by us and remain ours. Implementation of the new system will be staged. Eventually, there will be LDAP access to journals.

Using this system, it will be possible to specify your interests and receive notification when the Library receives materials that are of interest. This catalog is expected to be in production in December ’07, without reports. It will link to the Reports Submission System. Old reports will be digitized (scanned) and cataloged in stages, with Nobel Laureates’ reports to be scanned first, then those of specific subject areas and scientists. Reports will also be digitized as they are requested.
