Scheduling Guidelines

  1. Applications can be filled out at The Department of Genetics will respond with a confirmation. They will also respond accordingly if there is a conflict or issue with your request.
  2. Requesting Department will have to provide an UAB account number in order to secure a reservation. This account will only be used if the Department of Genetics incurs cost related to not adhering to the guidelines of use or misuse of equipment.
  3. Reservations cannot be made more than 12 months in advance unless authorized by the Department of Genetics.
  4. Reservations can be made during normal work days. The conference room is not available during the weekends.
  5. Usage of the space should be appropriate for the size of the conference room, minimum 25 people.
  6. Cancellations for events scheduled in the Finley Conference Center require 72 hours (3 days) advance notice. Failure to give sufficient notice could result in the loss of scheduling privileges.
  7. The Department of Genetics has priority reservations for activities that support their academic, research and clinical missions. There may be rare occasions in which you will be "bumped" from the room. If this happens, you will be notified with as much lead-time as possible and help find alternate space.
  8. This space can only be used for a UAB affiliated event hosted by a UAB Department.
  9. After hour usage will require the presence of a security officer. The hosting department is responsible for coordinating with UAB Police, 205-934-4434.

General Guidelines

  1. The sponsoring department representative, will badge into the conference center during the time approved. If outside caterers are used, you must be present to unlock the door. Please allot time for catering in your request to use the conference center. The department of Genetics is not responsible for unlocking the room for caterers!
  2. Existing seating includes 50 seats with tables and additional 20 seats along the walls without table. Maximum capacity is 99 people.
  3. The sponsoring department is responsible for all set-up and take-down. Space must be left in the same configuration as found
  4. Nothing should be taped, tacked, stapled, etc. to the walls, doors or windows.
  5. Food is allowed; however, the sponsoring party must assign an attendant to monitor its delivery/ set-up/ serving/clean-up.
  6. All trash should be picked up, securely bagged, and placed in the large trash can located outside on the patio (use side door only). The can is located right outside the catering room door (room where food is served in Finley, adjacent to the restrooms).
  7. Any cleaning, damage, replacement, loss or other expenses to the room or its equipment is the responsibility of the sponsoring party and will be charged by internal requisition to the FAS Account number provided in the application.

Technical Guidelines

  1. Conference Call Device – The Polycom voice only conference call equipment is available at the Department of Genetics Administrative office for use. The Finley Center is equipped for polycom use. It is the responsibility of the booking party to demo equipment before the scheduled event.
  2. Video Conferencing – Video conferencing is now available in the Finley Conference Room. It is the responsibility of the booking party to demo equipment before the scheduled event. Please contact the department of Genetics at 205-934-9411 to get an open slot.
  3. Any other IT or A/V needs are the responsibility of the booking party.No other IT department is allowed to service the equipment.Request for IT services should be made 72 hrs in advance of scheduled need through Demetria Blakely-Stoudermire 934-9411 or . She will contact the SOM IT department to request additional services, if needed.
  4. Failure to comply with scheduling, general or technical guidelines, and proper use of equipment will result in a $50 fee and/or loss of scheduling privileges.
  5. No equipment should be removed from the Finley Conference Center.

The back door leading to the McCallum building is not an Exit or Entrance. The alarm will sound if opened. Failure to adhere to this policy will result in loss of privileges.
