G Rules for cataloguing CD ROMs and Audio CDs / Audiobooks

First check the licence agreement issued with CD-ROM / CD. This is usually in the leaflet accompanying the CD or in the first few pages of the book, or beginning of the CD-ROM.

If for single or limiteduse only this will have to be indicated on the record and in the book. In the Notes field put “Reference” or “For use in library only”.

The CD will need to be loaded onto computer in the library either at time of cataloguing or when required by user.

a)CD-ROMs that come with books

The advice is simply to note the CD on the book record as outlined below, and loan on a temporary loan. However, if preferred a separate CD-ROM record can be created - see b) below

- If the information on the CD-ROM duplicates the book put

(no) CD-ROM in the Accompanying material field in the physical description

e.g. 1 CD-ROM

-If the information on the CD-ROM is different put (no.) CD-ROM (additional material) in accompanying material in physical description field

e.g. 1 CD-ROM (additional material)

-If it has a different title to book add title in the Notes field and create an Alternative title record

eg includes CD-ROM ‘Simbryo’

- If it has a different ISBN add this in the Notes field on the book record, not in the ISBN field

If loaned separately then create a temporary loan when borrowed.

If filed separately to the book indicate this in the Copy record (this does not display in WebView)

Make a note on date label of the book that a CD-ROM is included.

b) Rules for cataloguing stand alone CD-ROMs / Audio CD / Audiobooks

  1. Change the Media type to CD-ROM or CD (audio)
  1. Add the Media Sub-Type of Audiobook if appropriate
  1. Make sure template is ***SWNHS General
  1. Put in ISBN if available
  1. Enter the title and sub-title as normal – however, if the CD-ROM is from a book with the same title add at the end of the Title (CD-ROM) in order to distinguish it on overdues.

eg Saving mothers’ lives (CD-ROM)

  1. Enter thestatement of responsibility if there is one
  1. Add classmark
  1. Add name entries if available
  1. Add imprint as normal
  1. Physical – in the Length field put number of discsspace and CD-ROM / CD followed by the running time in round brackets if appropriate eg (5 hrs, 30 mins) no full stop after hrs or min

eg 1 CD-ROM

3 CDs(5hrs, 30 min)

In the Special enrichment field add a note if it needs a sound card and details of any accompanying material

  1. Give a series entry if appropriate
  1. Add any useful notes. Give technical requirements or put “Check system requirements before using”
  1. Add Mesh headings (no publication type)
  1. Add location
  1. Put in details of copies - specify a Shelf if shelved separately or use this filed to indicate for restricted loanif appropriate
