Beforekeyingany data into the ASYCUDA World system – using the Customs website( - pleaseensurethatyouhavealltherequireddocumentsneededtocompletedeclaration,suchas the Billoflading,invoices,freightdocuments, concession letters, development ordersandanyotherdocuments which mustbesubmittedwiththe declaration.

STEP1-CreateDeclaration

GoodsClearance→Declaration→DetailedDeclarationasshownbelow
To opena new declaration,Right ClickonDetailed
Declarationandselect NEW
  1. Complete the GeneralSegment
Use the DeclarationFieldsguide attached to the Declaration Processing Manual to complete the declaration / After selectingthedeclaration model, thesystemwilldisplaythedeclaration Form(SingleAdministrativeDocument– SAD). Completeallthefieldsbeginningwith the Generalsegment.
InBox1select themodel of Declarationaccordingtothe CustomsRegimerequired forthe goodsbeingimportedorexported.
Itisveryimportanttomakesureyouselectthecorrectmodelofdeclarationsinceitwilldeterminethetypeofcontrolsanddatathatthesystemwillmakeavailableonthedeclarationform
  1. Complete ItemSegment
/ Afterfillingoutthe Generalsegmentcontinuebyfillingoutallthe informationrequired in
the item segment

NOTE:Use the ‘Fields Guide’ attached as Annex 2 to the Declaration Processing Guidetofilloutyour declaration
  1. Complete the ValuationNote
/ To openValuationNoteselectVal.Notetabin thebottomof Declaration asindicatedbelow.InputinvoicedvalueofallthegoodsdeclaredinthemainSADformandotherinformation suchastotalfreight, insuranceand anyother chargesassociatedwiththe consignment.

Itautomaticallyapportionsthecostsbetween thedeclaration itemswhentwo more itemsaredeclared.
  1. Complete the ItemValue Note
N.B. Informationonthe Value note shouldmatchthe informationon the SAD ifonly 1item is declared / Selectthe ItemValuenotetabin bottom ofdeclaration.

Uponthe completionofallcustoms value related elements,the FOBvalue or CIF in relation to vehicles (whichisthe tax basefor customsduties) isautomaticallycalculatedfor eachitem.
  1. AddadditionalItems(if required)
N.B. Thesystem will acceptover 900items perdeclaration / Toadd anotheritem selecttheadd icon in the MenuBar. Fill outallnecessaryinformation and selectadditemiconto continueadding items to declaration

  1. AttachRequired documents
/ SelectATT.Doctabondeclaration,onthispageselectthe codetypeforeach documentandrightclickin referencesection toattach document.

  1. FillinAdd.Info
/ Usetheadditionalinfotabtoinputanypertinentinformation relating tothe
declaration.
  1. Fillinthe SuppliersInformation
/ Fill in the SuppliersInformation foreach invoiceattachedto thedeclaration

  1. FillContainer information (ifany)
/ Ifgoodsarecontainerised selectcontainertab andfill in therequired information
STEP2-Verifyforconsistency

N.B. The system willnotverify documentuntilallerrors are corrected / Afterinputtingallthe required dataselect theVerifyicontocheckforanyerrorsand tocalculateduties.

Ifthereareanyerrorssystemwillindicatewitha messageprompt

STEP3-StoreDeclaration
  1. Store Document
N.B. The usercanstore a
declaration atanytimeevenif the documentisnotcompleted. / Tostorea declarationselecttheStoreiconinthemenubarontheopened declaration.
Assoonasyou selecttheStoreoption,thesystemwillshowthefollowingscreen, confirmingthat thestorage ofyourdeclarationhasbeensuccessful.
  1. Retrieve StoredDeclaration
/ Toretrieveastoreddeclarationgoto‘Detaileddeclaration’inthe documentlibraryand rightclickon FIND
InFINDusereferencenumberto find declarationand selectsearch button as
shown below

Rightclickon thedesired document asshown below and select Retrieveto continue workingon thedeclaration

STEP4-AssessDeclaration

  1. Validate andAssess
‘Assess’meansthatyouare submitting thedeclaration forCustoms acceptance,andacknowledgethat thevaluesincludedinitascorrectandexact.
N.B. The ‘assessment’ofadeclaration bringsonalllegalbindings withCustoms. / Ontheopened declaration,select theValidateandAssessIconto obtain
assessmentforpayment.

Whenyou selectthis option,the systemwillverifythatalldataisconsistent,eventhough youmay havedoneit before.

Thesystemwillindicatethatyourdeclarationisassessedanddisplaythe assessmentnumberneededtomakepayment. At this juncture you must print the entry and attached documents for Customs.
STEP5-Make PaymentandRequestSelectivity

All declarations with Red or
Yellowlanes designations willhave a customs officerassignedfor examination or document checks
All declarations with Green or Blue lane with be cleared for immediate release / Supplythecashier with theAssessment numberofyourdeclaration to make payment.

The Cashierwillissueyou with areceipttoconfirmpaymentofdeclaration.
The Importer will submit the entry, attached documents and receipt to Customs. The officer will locate the entry and trigger ‘Selectivity’.

Systemwillindicate witha messagetheassigned lane for your declaration

Thesystemhas one of four‘selectivity’ designations foryourdeclaration:
RedLane
Thismeans thatyourdeclaration requiresboth a documentarycheckand
Physicalexamination.Presenttocustomsareceipt (if applicable)withall relevantdocumentsand awaitphysical examination.
YellowLane
Thismeans thatyourdeclarationonlyrequiresadocumentarycheck.Presentto customsaprinted copyofyourreceipt (if applicable)and all relevantdocuments.
BlueLane
Thismeans thatyourdeclaration hasbeen automaticallyauthorised tobe released, however, yourdocumentsand goodwill undergopostclearancechecks byCustoms.
GreenLane
This means that your declaration has been automatically authorised to be
released.Ifitisanimport,youcancollectyourconsignmentfromtheTransit Shed. Ifitisanexportthen yourgoodsarereadytobeshipped.
Note:Customs reservestherightto examinegoodsassignedto / Greenlane
STEP6-CollectGoods
  1. Release
N.B. Refer to the Declaration
Processing Guide for details
of the various Release procedures. / Once the remaining formalities have been satisfactorily completed a ‘Release Note’
will be issued and your goods released from Customs control.
