Instructional Materials
2011 Important Dates and Documents
Annual Inventory
· May 1 – June 30
¨ 2010-11 State Inventory – State-owned materials should be accounted for by scanning all copies with barcodes in Destiny under BACK OFFICE/INVENTORY, and enter a count for all COPIES WITHOUT BARCODES. Schools should click FINISHED.
· July 1 – August 31
¨ Any additional textbooks that students return should be scanned in Destiny under CIRCULATION/CHECK IN TEXT. This will update your inventory and account for those items.
· September 1
¨ The Instructional Materials Office will remove all copies marked lost on the 2009-10 inventory.
· September 15
¨ The 2010-11 State Inventory will be finalized and fees assessed.
· December 1
¨ Fees are due to Instructional Materials Office for 2010-11 Lost and Damaged Textbooks. Ordering will be disabled if payment is not received by Dec. 1.
Pre-Order
· April 22
¨ District Selections are due to the Instructional Materials Office.
· May 9 – May 31
¨ Schools should submit their Pre-Order for newly adopted materials on Destiny Textbook Manager.
¨ Projected enrollment numbers must be entered in Destiny when placing the pre-order (see Quick Help for Pre-Order doc). No additional enrollment data is required to be sent to The Instructional Materials Office. Auditors will review enrollment data after the start of the 2011-12 school year. Overages will be required to be returned. Excessive over ordering may result in shipping charges being assessed to the school.
Regular/Maintenance Orders
· June 1
¨ Schools may begin placing regular/maintenance orders for the 2011-12 school year. This includes consumables, additional books needed to replace losses, and additional books needed for an increase in enrollment. Enrollment data should be provided.
Additional Information
· Schools have 30 days to receive shipments from Instructional Materials Office and complete transfers from other schools in Destiny Textbook Manager. Discrepancies should be reported immediately.
· 2-3 weeks after school begins excess books should be returned to Instructional Materials Office. Additional returns should be submitted throughout the year, as needed.
