Deb MRM Reservation Instructions

***Before we get started – With the new MRM comes a new process of creating reservations. You will now have the ability to begin the reservation process in MRM yourself. HOWEVER, this is simply a RESERVATION REQUEST. Your reservation is not guaranteed until you have received a confirmation e-mail from the room owner***

CREATING RESERVATION REQUEST

Use the navigation tree on the left side to determine the date you would like, then go below to the location you are wanting to reserve.

Once you have found an available room and the time you want, click on the appropriate spot on the grid. For this example we will choose the Student Services Building,Room 205 at 10AM.

In the “Reservation Details” section be sure to fill out all fields identified by the red arrows. The Start time will default to the time you chose on the grid, but you will need to select the End time manually.

The section that says “Resources”in the middle indicates the room you have chosen. This will automatically be checked for you and requires no actions.

***Important!!! The Room Setup tab must be filled out before you are able to submit your request. See below***

The “Room Setup tab” is where you will need to specify to Facilities if there is any type of required setup. If you do not require any type of setup then you can simply put NONE or N/A.

***Something must be entered into this field in order to proceed***

PREP TIME AND CLEANUP TIME

You will also notice there is an option for Prep Time or Cleanup Time. These options can be used to let Facilities, Security, or Audio/Video know that there will need to be Setup or Cleanup done however many minutes you choose to select in these fields. If you do not require either of these, please leave them at zero. These minutes will also reflect on the reservation grid.

RECURRENCE

***If you have a meeting that will be mulitple days in a row, you must use the Recurrence option. You cannot use the Start and End dates over multiple days. This is to help keep all Facilities and Security reports accurate.***

***If you notice that after checking the Recurrence box nothing pops up, please check your pop-up blocker and try unchecking then rechecking the Recurrence box***

In-Room Media and Portable Media

In order to ensure you have the Media needed for your meeting, you will need to use the “In Room Media” tab and the “Portable Media” tab.

To use these sections, simply check the media needed and whether Technician Assistance is required or not. After you have checked the appropriate box, select the Add to Order button. This will move the items over to the right under the Order details box.

You will now have the chance do go back through the tabs and ensure all of your reservation is correct. Once you have done this you will click the “Save and Close” button.

SENDING RESERVATION REQUEST

Please be patient after clicking the “Save and Close” button as the processing time may vary. Once the process completes, you will be returned to the grid where you will see your PENDINGreservation. You will also receive an e-mail that your reservation request has been sent.

***REMEMBER, YOUR RESERVATION IS NOT GUARANTEED UNTIL YOU RECEIVE A CONFIRMATION E-MAIL FROM THE ROOM OWNER***

ROOM OWNER INFORMATION

In order to see who the room owner is for any room, simply click on the room number at the top of the grid.

Then click on the “Contact Info” tab.
