Firstly, welcome to Meta Maya Group Pty. Ltd. We understand it’s hard to remember all the information you receive in your first week, month of a new job -let alone the first day! So we’ve put together a short reference guide for the nuts and bolts of the business that you can revisit asrequired.
As background, Meta Maya Group (“MMG”), is a wholly owned subsidiary of Pilbara Meta Maya Regional Aboriginal Corporation (“PMMRAC”), a Not for Profit who is well known in the Government sector in its own right having managed Government contracts to the Aboriginal Communities in the Pilbara, Gascoyne and Murchison region for 24 years. MMG is the commercial entity of PMMRAC. MMG recently acquired an Occupational and Environmental Consultancy and took formal control on 1 March, 2017.
This addition to Meta Maya Group, has further strengthened its position as a quality business, delivering professional services to both Government and the Corporate Sector and offering our clients qualified and experienced personnel with a Perth presence, a national reach and an extended service offering. This acquisition also takes our company numbers to over 90 personnel.
Meta Maya Group’s service offerings include all types of services around Asbestos and Hazardous materials, Occupational Hygiene, Occupational Health and Safety, Environmental and Property Risk services and will form the Environmental Services unit within Meta Maya Group.
In August, 2017 MMG acquired a niche construction business and formed the Construction Unit supplying construction services with new builds, refurbishments and fitouts, Commercial Property Management and Property Maintenance services. Complete wrap around services in our build, manage and maintain business unit.
Meta Maya’s NATA accredited Laboratory has the facilities and the manpower to manage the assessment of samples with a standard turnaround time of within 24 hours and a priority turnaround time of within 2 hours.
We are very competitive and we are, in fact, the only Aboriginal owned Environmental and Occupational Health and Hygiene Agency, NATA accredited laboratory and Commercial Real Estate Agency. We are listed on Supply Nation and the Aboriginal Business Directory.

Is our document management system; you will hear more about this in the coming weeks. Don’t stress, you will receive training in VBM and we’re here to help you find anything you need in the meantime.
Internet:
Canning Vale internet speed is not the best on a good day and at other times it’s downright painful, just be mindful of this for when you need to upload or download big files from the internet. If you need to access the WIFI the password is narrowspider995
IT and computers:
Are looked after by Montec IT – we mainly deal with Steve or Dale, Steve’s contact details are below. They are able to remotely access our computers if necessary so they can jump in and fix any issues fairly quickly. If you have any issues check with Marilyn first, she may be able to fix.

Photocopying:
It is preferred whenever possible that you print in black and white, especially if you are working with draft copies or works in progress. Obviously if work needs to be printed in colour that’s not a problem (FYI it costs about 7c for black and white pages and about 80c for a colour).

Shared Resources Calendar:
We have a shared calendar where staff book vehicles, time off, training etc. You should be able to add the shared calendar to your Outlook by searching for it “MMG Resources Calendar”. If you have any problems, please see Marilyn and she’ll help set it up.
Uniforms:
MMG does use uniforms, we order these through ‘Work Clobber’ - they are located across the road, so it’s easy to drop in and try things on before we order. The corporate colours are Black and Red and depending on your role within MMG we have uniforms to suit your work inside or outside. For orders and more information please see Marilyn to arrange. Also worth noting, closed in shoes are preferred for office staff and are essential for people entering our lab.
Office Supplies and Stationery:
Stationery orders are placed monthly, if you want something added to the order please let Marilyn know. There is a stationery shelf located in the middle offices area, help yourself to the supplies you need.
Kitchen/Fridge/Toilets:
A kitchen area is located in the warehouse (near the laboratory), help yourself to tea/coffee making facilities, you’re welcome to use the fridge for lunches etc. Just remember to throw out any food you bring in after a few days. Toilets are cleaned every fortnight by the cleaner – however we work with the “you use it, you clean it” system here at MMG, this includes dishes
Office Equipment:
We do have a lot of office equipment available to staff, some items we have include a projector (located in the boardroom), label makers, spiral binding machine, scanner/photocopier, camera etc. If you need something, it’s worth asking as we may have it.
Post office box:
You may see things with our PO Box address, try not to use this as we will be cancelling the service in the coming months. When it comes to the phone number we are promoting 1300 928 963 over 9455 7441 as we may be changing offices at some point in the future.

Shared Drive:
We use a sharedS driveto keep files we are working on. Files saved on your desktop are not backed up and this is discouraged – please use the “S” drive in the first instance or alternatively create in VBM. The majority of our documentation can be found in VBM (you will receive training for this). Different departments obviously use different files on the S:Drive. Your manager will show you through the files you will be required to access and how to locate the information you need to perform your job.

Timesheets:
We operate on a Monday to Friday working week and you will need to complete your timesheet for the previous fortnight. Timesheets are an excel spreadsheet, you can obtain a blank version here S:Drive (most staff save a copy of their timesheet on their desktop). Once you have entered your times for the fortnight – check them, print, sign and give the signed copy to Dee who will countersign, scan and forward to the Finance Department in the Pilbara. You need to give the signed timesheet to Dee on the Friday of every second week so that payments can be made the following week. Normal hours are from 8.00 a.m. to 4.30 p.m. with one hour for lunch. Please ensure that you put down actual hours worked as this is a useful way for Dee to justify recruitment of staff and where it is required.
Staff Pays and Payday:
Payday is Thursday every fortnight. When you start you will be given paperwork to complete for payment details etc. Pays generally land in your account on Thursday (depending who you bank with).
Company Purchases
If you need to purchase something for the company you will need to follow our Purchasing process, which requires a requisition to be raised and approved by a manager. This is then given to Sharon Mortimore who will raise a Purchase Order. Please speak to Sharon as a first point of contact if you need assistance with a purchase.
Coffee man
Sean the coffee man comes between 10.30 and 12pm each day. Coffees are $4.50.
Water Cooler:
Is located in the reception area, help yourself. It is preferred that you bring in a bottle or container to refill rather than use disposable cups (we do try and be sustainable here!).
Locking up MMG at the end of the day:
Firstly, you’ll need an office key, if you haven’t been provided with an office key you cannot lock up the building. If you do have to lock up the office at the end of the day this is what needs to be done.
- Everyone is responsible for turning off their own office light and shutting their door.
- Laboratory will be closed by Christine, she will also check the back door and roller doors are locked. Generally, there should be nothing to check down the back.
- Locate the long black padlock that should be behind the reception desk area.
- Turn the lights off for the front reception area (switched located on the front door frame).
- Put your key into the door and turn clockwise until you hear the lock engage.
- Attach the long back padlock through the holes on the front door near the lock and close the padlock.
We’re a pretty nice bunch here and we all work together for the greater good of the business. Don’t be afraid to ask for help from anyone at any time. We’re all more than happy to stop what we’re doing and give you a hand.
