POSITION TITLE: Medical Assistant

GENERAL DESCRIPTION: (includes position purpose and objectives)

The primary purpose of this position is to provide clinical and clerical assistance to providers in the offices where psychiatric services are delivered. Medical Assistants are responsible for the safety and well-being of clients and assist in treatment of clients under the direction of the provider. Medical Assistants work as part of integral team between the clinical and clerical teams.

SUPERVISION RECEIVED: Receives supervision from the Manager of Psychiatry Services as well as general guidance and direction from the Psychiatric providers.

SUPERVISION EXERCISED: None.

COLLABORATES WITH: Agency staff members and community providers as appropriate.

PERFORMANCE EXPECTATIONS:

1.  Greets and assists clients and families courteously, whether in person or by phone.

2.  Prepares clients to be seen in the practice according to practice standards.

3.  Performs client care tasks and documents results of point-of-care testing and interventions according to practice standards.

4.  Educates clients by providing medication and health information and instructions and answering questions.

5.  Demonstrates a positive, optimistic and hopeful attitude in all interactions.

6.  Ensures that services are delivered in a way that is welcoming, and in a manner that reflects competent, effective and integrated care with a recovery focus.

7.  Maintains safe, secure, and healthy work environment by following, and enforcing standards and procedures and complying with legal regulations.

8.  Maintains client confidence and protects operations by keeping client care information confidential.

9.  Completes new provider orientation and participates in on-going staff development opportunities to enhance skills.

10.  Interprets and implements policies or operating practices to ensure that systems are meeting client and staff needs.

11.  Assists with other tasks as appropriate within the assigned office(s).

12.  Carries out duties as assigned based on established competencies.

13.  Ensures that the rights of clients and staff members are protected in accordance with Agency policy, State and Federal regulation.

14.  Functions in a cost-effective manner with regard to time utilization, mileage and job related expenses.

15.  Comply with Agency-mandated procedures and safety regulations for the good of employees and clients.

Position Specific Competencies:

Room clients: Greet client cheerfully with introduction and escorts to clinic area. Obtains vitals, updates medications and allergies, and reviews preventative care and quality measures. Notifies provider of any services due. Obtains most recent testing results or other pertinent information prior to appointment. Keeps clinic area clean and neat. Brings abnormalities to provider’s immediate attention. Maintains smooth client flow by keeping provider on time.

Triage: Answers telephone, medication refill line, checks voice mail, screens and triages calls, documents, provide basic clinical information.

Prescriptions: Take medication refill calls and information needed to present to provider for refill approval. Works within electronic system to complete the provider-approved mediation refill for clients. Returns client calls per provider directive/order. Calls in, print or faxes medication requests from provider or client according to provider instruction and practice protocol.

Medical Records: Coordinates all medical record tasks as described in policy and protocols. Completes medical record requirements including managed care authorizations, treatment plans and medications documentation. Assists in tracking no-show with follow-up phone contact with clients to reschedule. Prepares client’s records for scheduled appointment no later than the day before the appointment.

QUALIFICATIONS:

Education and/or Experience:

Associate Degree in the field of Medical Assistance, MA certification preferred, and two years of job related experience in a medical setting; or equivalent combination of education, training and experience as approved by the Director of ACFS.

Physical and Environmental Conditions and Requirements:

The conditions and requirements described here are representative of those that must be met by an employee to successfully perform the essential functions of the job.

Workplace Environment: The employee may be continuously exposed to airborne particles. Frequently the employee will work in quiet conditions; work with little office privacy; and work with others in crowded office conditions. The employee must be able to work regular part-time or full-time hours as scheduled. The employee will occasionally be required to work overtime, evenings, weekends, or unpredictable schedules.

Physical Requirements: The employee must be able to occasionally stand and walk; climb stairs or balance; stoop, kneel, or crouch; pull and push; carry and grasp; reach shoulder high or over the head; bend and twist at the waist; walk on uneven ground; lift 25 pounds; tolerate outdoor weather; sit and ride in a vehicle; transport oneself to other locations; drive in varying weather conditions with individual trips of up to 3 or more hours. The employee must frequently be able to grasp objects. The employee will continuously be required to sit; use hand to finger, handle, or feel. The employee must be able to coordinate eyes, hands and fingers rapidly and accurately, and operate a computer for more than 4 hours per day.

Communication Requirements: The employee must be able to frequently talk on the phone and in person to individuals and small groups. The employee must be able to continuously hear, frequently read; and occasionally write. Vision requirements include continuous use of close, distance, and peripheral vision; depth perception; and ability to adjust to focus.

Mental Requirements: The employee must be able to get along with others; meet deadlines and productivity standards, complete paperwork on time; respond to varying situations with tact and diplomacy and deal with stressful, hostile, or irrational persons, whether due to physical or mental disability, drugs, socio-economic differences, or other factors; react calmly and effectively in emergency situations; and remain flexible in changing circumstances and situations.

JOB PERFORMANCE EVALUATION:

The employee must satisfactorily complete an initial six (6) month probationary period. At that time, the employee may be granted regular status or may be continued on an extended probationary basis up to but not exceeding an additional six (6) months. The initial probationary period occurs but once for each employee, during the first six months of employment. Subsequent job performance evaluations will occur on an annual basis, on or before the anniversary of the Employee’s original date of hire.
