Convention Purpose

The AAJHSC strives to develop leaders through the following five goals: leadership, academic achievement, school spirit, diversity, and school/community involvement. The purpose of this convention is to celebrate and recognize 6th, 7th, and 8th grade Student Councils that have done an outstanding job promoting these goals.

Membership Dues must be paid and your Membership Registration must be current before your application packet can be reviewed and judged.

State Projects/Reports and Honor/Master Council Application Information

Student Councils may choose to enter any and all categories explained throughout this packet when getting ready to attend the AAJHSC State Convention. Your school should begin planning early what you want to enter, since the reports and application are due April 7, 2018. Your school is not in competition with any other school. You are being judged against a standard of “EXCELLENCE”. See judging forms and application for explanation of points and ribbons.

PLEASE NOTE due dates for each item. Some items are due by Judging Day on April 7, 2018 and some are due at Convention on May 10, 2018.

Paperwork

Honor Guard for Flag Ceremony Completed form due at AAJHSC by 4/7/18

A form is in this packet and on our website that will ask you for the name of one council member who will do the honor of carrying your school flag. The flag represents your school during the opening ceremony on Thursday evening. It should to be a 3’ x 4’ flag attached to a 6’ pole. Please bring a base for your flag to stand in at the end of the ceremony. It is NOT a BANNER! You can have the flag made professionally or your council can make it. It must have the name of your school on it and many schools include their school mascot. Your flag may be used year after year, so it is worth investing in a durable flag. The FLAG does not receive a ribbon at the convention, but is required for Honor/Master Council.

State CharityCompleted formand donation made by 4/7/18.

There is no minimum or maximum amount required, but at least one donation is required for Master/Honor Council. Many schools work with several charities throughout the school year. On the lines above list the dollar amount donated, the number of hours donated, or pounds of food donated, etc. You can use additional forms or the back of this page if necessary.Please note that checks should be made payable to the charity and NOT to AAJHSC. Include the completed form in your application packet.

Projects

Introduction Due at AAJHSC by 4/7/18

Introductions have a 60 second time limit. The idea of the Introduction is to introduce your school with a short song, chant, or skit incorporating the theme “Celebrating the Past Shaping the Future". It is not to be used to introduce individual council members. You may use music in your performance. Everyone on stage must have an active part. You must includea recorded version of your Introduction a written copy of the words, and the judging form, to AAJHSC by April 7, 2018, for your school to be judged. The recorded version of your performance will be judged on April 7, 2018 at the judging meeting. The Introductions will be compiled and played during convention for everyone to view. Please send your presentation to us on a flash drive or CD.

School Banner Due at Convention 5/10/18

The school banner must be designed and constructed by students. Any material may be used (cloth, felt, wood, metal, plastic, etc.). This banner will represent your school so it should include your school name and the current year. It will also include the convention theme. The banner needs to be able to be hung. You could construct a frame so your banner will hang or stand by itself. (Directions to build a banner holder are available on our website.) The maximum size is 5 feet by 7 feet or 7 feet by 5 feet. See the judging form for specific details that will be judged.

Collage or Digital PresentationCollage Due 5/10/18 or Digital Presentation Due 4/7/18

A collage is an assortment of pictures taken throughout the school year that showcase the many activities that your council has been involved in. Pictures should be cut to fit whatever format your council has chosen. Rubber cement works well to attach pictures to your background. An added feature is to label various pictures with captions. This allows people in future years looking at your collage to know what you are trying to represent. The captions are not required. Think of your collage as a large puzzle. The pictures should lock together in a neat arrangement. There should not be any background left uncovered. A clear smooth finish must be applied to the top of the pictures. This will protect your pictures and keep them from peeling away from each other. The maximum size for the collage is 3 feet by 4 feet. See the judging form for specific details that will be judged.

Digital (media) presentation uses PowerPoint or a similar program to display a variety of pictures or videos of any activities from your campus, not just Student Council. It must be student produced and can include sound, such as voice-overs or music. It should relate to the convention theme and include your school name and year. The running time should be between 2 and 5 minutes. Please send your presentation to us by April 7, 2018 on a flash drive.

Scrapbook Due at Convention 5/10/18

The scrapbook is a record of your activities throughout the year. You can use pictures, notices, programs, advertisements, newspaper articles, flyers, anything you have that will make it interesting. You need to organize the pictures in chronological order (months) or categories (sports, dances, community services, school involvement, etc.). Pictures should be glued on the pages. Rubber cement works great! Captions are a MUST. They should be used under most pictures to identify the people and the event. Take your time, neatness counts. Maximum size is 2 feet by 2 feet. An electronically produce scrapbook is acceptable, but please be sure it is student designed. See the judging form for specific details that will be judged.

Minute Book Due at Convention 5/10/18

The Minute Book is a legal document that contains all business YOUR council has conducted the whole year. The following items must be included in your book: list of officers and members with attendance to all meetings, all agendas, monthly calendars, minutes of all general/executive meetings which include motions made and then voted upon by the council, and any correspondence. Your council secretary and advisor must sign all of the minutes. It is best to make a copy of all pages in your minute book and submit the copies for judging. A standard 3-ring binder makes a great minute book. See the judging form for specific details that will be judged.

Written Reports (Required for Honor/Master Council)

School Activity Due at AAJHSC by 4/7/18

The School Activity report should be a chronological list of all school activities (not just Student Council activities) during the school year, including musical performances, and athletic events and tournaments. They MUST be numbered consecutively, separated by month, and have a one-line description of the activity. DO NOT list your Student Council meeting each month as an activity. Part of your score depends on the number of activities your school does throughout the school year. You can list activities not yet complete, but planned for the remainder of the school year. Judges are looking for “quality activities.” A list of 65-75 activities is normal, but a minimum of 65 activities is required for a Master Council.

Fund Raising Due at AAJHSC by 4/7/18

The Fund Raising report may include money raised by any organization on your campus that your council was involved in. In this report, list the top 3 fund raising events that took place on your campus. Tell what you did, what percentage of students participated, and if it was a successful effort. At the close of the report include statistics: total profit divided by the number of students in your school equals dollar amount raised per student. EXAMPLE: Your school raised $75,000 and you have 1100 students on campus, you raised $68.18 per student.

School Spirit Due at AAJHSC by 4/7/18

The School Spirit report should concentrate on your council’s top three spirit activities. The report should be written in 5 paragraphs, an introduction, a paragraph describing each of your 3 activities and a concluding paragraph. You will be judged on the format, mechanics, grammar, and spelling.

School/Community Involvement Due at AAJHSC by 4/7/18

The school/community involvement report should concentrate on your council’s top three involvement activities. The report should be written in 5 paragraphs, an introduction, a paragraph describing each of your 3 activities and a concluding paragraph. You will be judged on the format, mechanics, grammar, and spelling.

We will be judging the four Written Reports, the Introductions, and the Media Projects. We would like your help! There will also be a board meeting when all the judging has been completed.
