1. How can I apply for an opportunity?

A.Once you have seen a vacancy you wish to apply for, hit the ‘Apply Now’ button and follow the steps below:

Registering for the first time

1) If this is your first time using our online system, click on the “Register today” link and register using an email address and a password of your choice.

2) An email will be sent to the email address you used with a link that enables your online account to be activated. You may need to check this email has not been ended up in your spam / junk box! To activate your online account, click on the link contained within the email.

3) You will then be returned to the first page of the online application form.

4) You will need to answer all the questions within the system; all of these details will be stored automatically and retrieved each time you apply for a vacancy at Imperial College. You will be able to edit your pre-registered information when you apply for future specific vacancies.

Applying for a vacancy

5) You may at this stage decide to ‘save your application for later’ to allow yourself time to complete your downloaded application form and any other material stated in the advertisement for the application process. Or you may have decided to do this earlier for example prior to registering.

1) To apply for a vacancy you will firstly need to log into the system using the email address and password you used to register.

2) Once you have prepared all the documents you need to complete your application, you will need to ensure these are saved using the Vacancy Reference number and upload these directly into the system, via the “Add Document” button on page two, and complete any outstanding questions required by the online application system. Once you are happy that all documents and information have been completed, please select the “Finish” button.

3) We will acknowledge receipt of your application immediately by email. You can also revisit the site to obtain an update on your application and to change your personal details as required, for example, if you change one of your contact telephone numbers.

4) If you are shortlisted or invited for interview you will also receive an email notification from us.

5) Your details will remain in our online system for a period of six months. At the end of the six-month period, you will receive an email informing you that your account will be closed unless you renew your registration.

QHow long will it take to apply for a job?

A.As part of the online application process you will be required to upload a completed application form.For academic positions you will also need to upload any other relevant documents specified in the advertisement. You are able to save your online application (using the Save for Later button) and can therefore choose when you wish to complete the documents that need to be uploaded.

Completing the required fields within the system and uploading your documents should take around 30 minutes.

  1. I have forgotten my password?
  1. If you have forgotten password the system can reset this for you. To use the reset function, it is important that you limit the number of attempts to log into the system to two attempts.

After two attempts click on the forgotten password button and you will be taken to a page where you will enter your email address. You will be sent a notification with a new system generated password. You can then login to your iRecruitment Account and change the password to one that you are able to recall easily.

If you have entered the incorrect password on three occasions you will need to email request that your password be reset.

A.If you have forgotten both your username and password you will need to email request that these be reset.

Q.I am trying to get into the system and keep receiving error messages?

A.To access the system the following minimum requirements are necessary:

Internet Explorer 5.5 or higher

Pop-up blockers turned off

Ensure that your virus protection is not blocking access to the site

Q.What is my iRecruitment account?

A. Once you see an opportunity you wish to apply for, hit the ‘Apply Now’ button and either register, if this is your first time using our online system, or log into the system using the email address and password you used to register to access your iRecruitment Account.

Once your account is active you can log back into iRecruitment for the following reasons:

To complete an application that you have started but not completed

To edit your personal details

For submitted applications you can also view the following information:

The status of your application(s)

The advertisement, job description, person specification and other details relating to the opportunity

  1. What do the application statuses mean?

You will see:This means:

Application being processedYour application is currently active and will be reviewed in due course

InterviewYou are being invited to an interview

Application closedYour application is closed because of the following reasons: you were not shortlisted for interview or you were not offered the post following interview.

Application withdrawnYou have withdrawn your application

Application successfulYou are to be made an offer or you have already accepted an offer.

  1. Is there a time limit for submitting an application?

A.Completed applications must be submitted by midnight on the closing date unless specified otherwise in the advertisement.

Q.How will I know what is happening with my application?

A.If you want to know the status of your submitted application, please log into your iRecruitment account.

You will also be sent email notifications to the email address you supplied as well as letters.

Please note: You may need to check that any emails sent automatically from iRecruitment have not ended up in your spam/‘junk’ folder. Please check your spam/‘junk’ folder regularly for any correspondence that might be sent.

Q.I wish to apply for an opportunity that I have previously seen on the website but is no longer there?

A.Vacancies are no longer visible on the website after the closing date and time have passed.

Q.What happens if I change my mind after applying for an opportunity?

A.If you change your mind and no longer wish to apply for one of our vacancies, you can withdraw your application by accessing your iRecruitment Account and selecting “Application Details” under the specific job you have applied for then clicking on the “Withdraw Application” button. Please be aware that if you wish to reinstate a withdrawn application you will need to re-submit your application by either email or post to the individual named in the advertisement.

Q.What happens to the information I have uploaded as part of my application after the recruitment process has been completed?

A.If your application has been successful this information will be used to create your contract and set-up your HR database record.

If you have not been successful, you are required to log back into your account and delete the uploaded documents related to the specific vacancy.

Q.How long will my iRecruitment Account be activate?

A.Your iRecruitment Account will remain active for six months following your last access/use. At the end of the six-month period, you will receive an email informing you that your account will be closed unless you renew your registration.
