MOVING YOUR SITE TO THE NEW SHAREPOINT SITE (DRAFT)

First, your command point of contact needs to request a SharePoint account.

Command Public Web Site POC's must have a SharePoint account to request a new SharePoint Public Site. If you need a SharePoint Account the following info will assist in registering for one.

Register at: https://www.portal.navy.mil/registration/default.aspx

1.  When you register, please pay attention to the following fields:

  1. Email: Use your NMCI NIPRNET Email address.
  2. UPN: Follow the instructions on the right side of the window for finding your UPN.
  3. NOTE: ENSURE THE UPN IS CORRECT. IT TAKES UP TO 3 WEEKS TO FIX AN INCORRECT UPN.
  4. Echelon: COMNAVAIRFOR SAN DIEGO CA
  5. UIC: Use the UIC you are ordered to.
  6. Additional Information: Please enter "Account required to request and manage a SharePoint Public Web Site"

2.  Once your SharePoint account is approved, you will receive an email notification then you can proceed with requesting a SharePoint Public Web Site

Next, the command point of contact needs to request a SharePoint Public Web Site


To request a SharePoint Public Web Site.

1.  Select the "Public Site Hosting for Echelon 3" tab.

2.  Scroll down to the bottom of the page and select "Click Here to Request an Echelon 3 or below Public Site"

3.  Please use the following info when completing the form:

  1. Echelon 2: USFF
  2. Echelon 2 PAO: Alvers, Carl CIV
  3. Echelon 3: COMNAVAIRFOR SAN DIEGO CA
  4. Echelon 3 PAO: Roger Zobel
  5. Publishing Approvers: "Your Command's PAO"

Once the request has been approved and completed, you can now edit your site. Find out your site information (i.e. the URLs) by viewing the completed ticket. This can be viewed by going to

https://www.portal.navy.mil/help/Pages/publicstatus.aspx

and then clicking the next arrow at the bottom of the page until you see your ticket (it should be the only one with your name as the “Requestor”. Click on “View/Edit”, and scroll to the bottom. There should be two URLs: “Internal URL” and “Public URL”. The “Internal URL” is the INTRANET website, which is CAC card enabled. The “Public URL” is the INTERNET website, which is not. For our purposes, these are one and the same, but it should be noted that changes made to your website are immediately visible on the INTRANET website, while they may take some time to push to the INTERNET website.

EDITING YOUR SITE/MAKING IT ALL WORK

1.  Go to your squadron/command’s INTRANET website. Now, add “_layouts/viewlsts.aspx” to the link. It should now resemble:

2.  Click on the “Pages” Link.

3.  Click on “Upload”

4.  Select “Upload Multiple Documents”

5.  Browse to the folder on your network that contains the HTML (or ASPX) files.

6.  Select the files

7.  Select OK

8.  Select “Yes” on the dialog box.

The document should now appear in the Pages list with an “Approval Status” of “Draft” and “Publishing Approval” should be blank.

9.  On each document uploaded:

  1. Click the down arrow to the right of the document’s name, and select “Check In”.
  2. Select “1.0 Major version (publish)
  3. Click OK
  4. Click Start on the resulting page.

10.  On the top right, select “Site Actions” and then “View All Site Content”.

11.  Under “Lists”, click on “Tasks”.

12.  For each document uploaded:

  1. Click on “Please approve xxxx” (where “xxxx” is the name of the document)
  2. Select “View Item”
  3. Click on the “Approve” button

13.  On the top right, select “Site Actions” and then “View All Site Content”.

14.  Click on “Pages”

Now your document should appear in the Pages list with an “Approval Status” of “Approved” and a “Publishing Approval” of “Approved”.


IMPORTANT NOTES/THINGS YOU SHOULD KNOW

·  Again, it may take time for the documents to push to the public INTERNET server.

·  Images are stored under “Images”, but to reference them in an html or aspx document they are in “PublishingImages”.

·  By selecting “Site Actions”, then “Site Settings”, then “Modify All Site Settings” and then selecting “Welcome Page” under “Look and Feel” you can change the page that loads as the main page. For most, this will need to be changed from “default.aspx” to “index.html”

·  Cascading Style Sheets DO work

·  Additional documentation is available at https://www.portal.navy.mil/help/Pages/training.aspx under “Documentation for Site Owners”

·  A change to your domain name registration will probably be necessary. Call the NAVY DOMAIN ADMIN (technical support) at 757-836-5004 to make your http://www.xxxx.navy.mil URL point to the new address. Currently this is not working due to some technical limitation of Sharepoint, so using a redirect is the workaround.

·  It is suggested to use relative links whenever linking pages within your own site. For Example, use:<a href=”links.html”> instead of <a href=”http://www.public.navy.mil/usff/vaw126/Pages/links.html”> This will prevent the most common 404 Not Found Errors.
