Learning Management System (LMS) Coordinator

Business Managers, Senior HR Business Partners, you’ll also work with external stakeholders including external training providers.

ABOUT THE ROLE

This role supports the administration and utility of a highly functioning Learning Management System (LMS) to meet the needs of staff, managers, and sites across the organisation, encourages engagement with a reliable and effective employee learning portal (Learning Campus); actively engages as a PLC and Learning and Development team member to continually foster and nurture a culture of continuous learning and education within Uniting.

ROLE OBJECTIVES

  • Support the advance and engendering ofengagement in Uniting’s workforce for continuous learning and commitment, through the Learning Management System, to deliver work practices that demonstrate the organisation’s vision through the development and growth of a highly engaging and effective employee learning portal (Learning Campus)
  • Through excellence in customer service and coordination activities, promote the employee learning portal as an effective, efficient, viable modality for learning
  • Collaborate with the Learning and Developmentand other PLC teams and internal clients in the development and execution of a highly functioning employee learning portal.
  • Contribute to the Learning and Developmentteam’s development and implementation of programs and projects which enhance employee capability and learning outcomes via the learning campus.

YOUR RESPONSIBILITIES

Financial management:

  • Ensure that all activities within the scope of responsibility are performed in accordance with relevant budget allocations and policy guidelines

Operational Processes

  • Collaborate closely with the HR Business Manager teams in the interactions with local managers and staff in order to fulfil role requirements
  • Proactively advise and consult with LMS Manager on current LMS activity which will impact on forward planning
  • Support the LMS Manager with key LMS projects and ensure all LMS input and output activity is performed in accordance with allocated time frames
  • Maintain learning administration tools for services and activities such as scheduling, online course catalogue resources, evaluations, course management, attendance, grading, scoring, learner messaging and notification, and all learning activities executed through the LMS
  • Ensure all LMS requests are logged and tracked using the Call Logging System
  • Develop and maintain relationships with all stakeholders to contribute to a quality and highly utilised learning portal
  • Develop, implement and maintain LMS standards and related documentation including process flows and desk procedures.
  • Administer the central communication channel of the LMS’ Learn@ email account, ensuring enquiries are responded to, leading to consistent positive experiences in LMS Services, with issues escalated appropriately and in a timely manner.
  • Coordinate LMS processes, systems and technical infrastructure that support the delivery and evaluation of the LMS.
  • Support LMS functionality, utilisation and the development of standard LMS practices.
  • Maintain LMS user groups and support the monitoring of the overall governance of the LMS.
  • Actively communicate with staff and internal clients, in collaboration with key PLC stakeholders to ensure that quality and service issues are maintained at the highest possible level to ensure customer satisfaction with LMS services
  • Ensure data validity by regularly conducting checks and balances to ascertain ongoing system viability and functionality that enable a high functioning LMS
  • Develop capability as required with the wider PLC and Learning and Development teams and staff population with a view to develop staff competency in the use of the LMS and eLearning as appropriate to the needs of the participants
  • In collaboration with the L&D Lead and HR Business Manager prepare LMS reports for managers as required.
  • Effectively utilise internal Learning and Development operational processes and procedures to enable high quality Learning and Development outcomes
  • Demonstrate strong interpersonal and team communication skills that enable achievement of quality outcomes.
  • Maintain awareness of and fulfill responsibilities, authorities and accountabilities as defined by Uniting’s health, safety and wellbeing management system and in adherence to the attached WHS responsibilities by role.
  • Participate and comply with all quality management systems and processes.

Client Management:

  • In collaboration with the wider PLC and HR Business Managers teams, establish strong and effective networks to support the LMS functionality and utility and the implementation of effective learning and development solutions
  • Maintain a high standard of conduct and work performance to promote our reputation with key internal and external stakeholders.
  • Ensure integration and collaboration with other key members of the PLC function to deliver seamless and impactful end to end PLC services with the client at the centre

People Management:

Financial management:

  • Activities within the scope of responsibility are performed in accordance with relevant budget allocations and policy guidelines

Operational processes:

  • Positive contribution towards delivering Learning and Development led projects/initiatives on brief, on time and within budget
  • Achievement against an individualwork plan that aligns with theLearning and Development team’s operational work plan
  • Personnel learning and development targets are met (determined by performance reviews)
  • Organisational learning and development targets are met (determined by benchmarking and/or performance reviews)

Client management:

  • Effective client relationships in place and stakeholders indicate high levels of satisfaction with service delivery
  • Effective cooperation and influence with HR Business Manager and Learning and Development teams to ensure execution of LMS functionality (Based on performance review feedback)
  • Effective cooperation and influence with Subject Matter Experts (SME) and Managers to ensure execution of LMS operational requirements (Based on performance review feedback)

People management:

  • Standards of professional behaviour demonstrate alignment with Uniting’s values and are effectively role modeled in all workforce interactions
  • Participate in the formal annual performance review process.

THE IMPORTANT DETAILS

Qualifications:

  • Relevant administration qualifications or other relevant areasor demonstrated equivalent knowledge and/or experience
  • (Desirable): Certificate IV in Workplace Assessment and Training; relevant tertiary qualifications in IT, or other relevant areas

Your experience ticks the following boxes:

  • Minimum 3 years’ experience in a systems administrator role in educational institutions and/ or medium to large organisations
  • 3 years’ experience in building and maintaining effective customer service across all levels.
  • Proficiency in MS Office applications including Word, PowerPoint, Excel and Publisher.
  • Proficiency using multi-media technology to enhance training / learning experiences.
  • Sound knowledge of Learning and Development functions, practice, policies, programs and technologies
  • Interpersonal skills sufficient to develop strong relationships with employees, managers and other internal and external stakeholders to build sustained buy-in and continued support for learning and development activities
  • Demonstrated knowledge and application of learning design principles and technical standards within an eLearning platform (including Learning Management Systems)
  • Demonstrated accountability taken for prioritising project work and flexing time accordingly responding to changing priorities and ambiguity in order to manage multiple projects simultaneously.

  • Skilled at navigating a complex organisation, forging relationships, and managing through influence rather than direct authority
  • Familiarity with impacts of legislation and compliance on learning and development programming, design and curriculum, and administration
  • Demonstrated insight into how people learn used to maximise employee learning and capability.
  • Demonstrated ability to develop and apply insight into the dynamics, trends, and business challenges of the the human services/not-for-profit/aged care industry sectorsin the short and long term
