Job Description – Creative Team Assistant

Purpose of the Job

To provide a high level of administrative and research support to The Creative Team and undertake the project management of core elements of the administrative based projects as needed by the team. This post will be under the direction of the Head of Creative, the Creative & Copywriting Manager and the Art Director.

In an incredibly busy working environment, the ability to juggle a heavy workload and to meet tight deadlines whilst keeping a cool head is a must.

Specific Responsibilities

  1. Core Administration

To provide the Creative Team with a high level of administrative support, including:

  • Co-ordinate team meetings, team away days and team activities
  • Set up and coordinate internal and external meetings and produce agendas and minutes as needed
  • Manage any core filing for the Creative Team
  • Manage and update a Creative Team contact list.
  • Collate briefs that come into the department from Creative Services, log them if needed, print and disseminate them to the relevant managers.
  • Organise transport, accommodation and finance for the Head of Creative, the Creative and Copywriting Manager and the Art Director if requested.
  • On occasion, proof read copy generated from within the team.
  • Process invoices if and when needed.
  • Process all expense claims for the Creative Team
  1. Research

To provide the Creative Team with high quality and accurate research, including:

  • Desk based research for a variety of issues that may influence, or be needed to inform, the team’s creative response to any given brief.
  • Research online image catalogues for example images, as requested by the Art Director.
  1. Creative

To assist the Head of Creative, the Creative & Copywriting Manager and the Art Director in all aspects of the team’s creative output, including:

  • Drafting strong explanations of the team’s creative ideas, ready to be presented to the client.
  • Draft newsworthy articles for the campaign website
  • Draft content for our social media portals and monitor activity on these sites (namely Facebook and Twitter)
  • Desirable – to be able to draw and sketch illustrations to support creative ideas that are generated by the team.

General

  • Participate fully as a member of the Creative Team and Comic Relief as a whole.
  • Ensure costs for any project are reduced by obtaining gifts in kind and volunteered time, in line with Comic Relief’s philosophy.
  • Support initiatives across the whole organisation, where appropriate.

Solid experience of working in an administrative role / To carry out all admin tasks such as minute taking, typing, filing, organising meetings, maintain budget spreadsheets and utilising computerised office systems. Must feel comfortable in an office environment, working in a team. / Ess. / 
Some experience of working within a creative environment / To understand the way creative teams operate and their specific needs which can often differ to other types of team – and to be able to contribute to the team’s creative output when necessary. / Ess. / 
Experience of researching various topics and presenting findings in a clear and concise report. / To provide research support to the team.
