Functional Area: Payroll / Enter Treaty Exemptions
Purpose
Use this procedure to enter treaty exemptions for international employees.
Trigger
Perform this procedure when you receive a packet of forms from the US-ISSO office.
Prerequisites
  • You must review forms to verify that a home country address is provided.
  • You must review forms to verify the employee signed each form.
Menu Path
Use the following menu path to begin this transaction:
  • Select Human ResourcesPersonnel ManagementAdministrationHR Master Data to go to the Maintain HR Master Data (UC Basic Personnel Data tab) screen.

  • The R/O/C column in the field description tables below defines whether the field is required (R), optional (O), or conditional (C).
  • On certain screens you may have to scroll to view some data entry fields.

Procedure
1. / Start the transaction using the menu path or transaction code.
Maintain HR Master Data (UC Basic Personnel Data tab)

2. / As required, complete/review the following fields:
Field / R/O/C / Description
Person ID / Required / Unique Employee Identification number
Example:
10000210
3. / Click .

4. / Click the tab.
/ The employee’s information is now displayed on this screen. Infotypes created for the employee have a displayed to the right of the Infotype text field.

5. / Click to the left of Visa.
6. / As required, complete/review the following fields:
Field / R/O/C / Description
STy / Required / Subtypes are subdivision of infotypes. The various subtypes of an infotype can be assigned different time constraints and a separate data history can be maintained for each.

Create Visa (0048)

9. / As required, complete/review the following fields:
Field / R/O/C / Description
Start / Required / Date and/or time when operation commences
Example:

The start date is the pay period end date of the check on which the treaty exemption will become effective.
Visa type / Required / Description of the Visa type.
Example:
F-1 (Student)
Item 6 on the 8233 form
Enter H1 visa’s as H1B.
Date of issue / Required / Date of entry into the United States
Example:
01/01/2001
Item 8 on the 8233 form.
Expiration Date / Required / Date your current nonimmigrant status expires
Example:
01/01/2007
This date will always be the last day of the current calendar. All international employees must apply for the treaty exemption on a yearly basis.

12. / Click to the left of Residence Status.
/ The system displays the message, “Record created”.
/ You must scroll down to display the Residence Status infotype.

Create Residence Status (0094)

15. / As required, complete/review the following fields:
Field / R/O/C / Description
Start / Required / Date and/or time when operation commences
Example:
02/11/2006
The start date is the pay period end date of the check on which the treaty exemption will become effective.
Residence status / Required / Identifies whether an employee is a citizen of the US, and if not, what type of visa the employee holds
Example:
Non-resident alien
Use Non-resident citizen for H1 visa holder’s.
Issuing date / Required / Date identification was issued to employee
Example:
01/01/2001
Item 8 on the 8233 form.
Expiry date (status) / Required / Date your current nonimmigrant status expires
Example:
01/01/2007
Item 9b on the 8233 form.
/ If this infotype was previously entered, review the information for completeness.

E (Exempt) (column to the right of 05 in the Tax type column) / Required / Indicates the status of an employee as being exempt or non-exempt after considering appropriate guidelines for task at hand
Example:

The field 05 represents the employee’s medicare deduction.
E (Exempt) (column to the right of 06 in the Tax type column) / Required / Indicates the status of an employee as being exempt or non-exempt after considering appropriate guidelines for task at hand

The field 06 represents the employer’s medicare deduction.
/ You must scroll to the right to display the Exempt column. Place your cursor on the column and drag the column to the right to expand the Exempt column for a full view.

Item 7a on the 8233 form.
Treaty group / Required / Description of individual's purpose for being in the U.S.

Information pertaining to employee’s work status can be found on the Treaty Analysis log provided by the UC-ISSO office attached to the 8233 form.
Treaty expiry date / Required / Last day of the current calendar year
Example:
12/31/2006
Treaty exemptions must be renewed at the beginning of every calendar year. This date represents the last day of the current calendar year.
30. / Perform one of the following:
If The Visa Type Is For / Then
F-1 and/or J-1 students / 1. Click to the left of Amount.
2. Enter the amount in the Amount field.
Item 12b on the 8233 form.
J-1 Researcher, Scholar or Professor / Click to the left of A11.
31. / Click .
32. / Click .

33. / Click until you return to the SAP Easy Access screen.
/ The system displays the message, "Record created."
