TITLE:Duty Manager – Student Sport’s Development

LOCATION:Sports Centre

GRADE:APT&C Grade 5

RESPONSIBLE TO: Director of Sport

RESPONSIBLE FOR:Recreation Assistants, Fitness Instructors, Lifeguards, Cleaning Attendants, Reception Staff, Casual Staff

AREA OF RESPONSIBILITY: All sports facilities.

HOURS: Working in a rota with other Duty Managers

covering all hours of operation. Duty Manager’s will be working 35 hours per week shift work including evenings and weekends.

Overall objectives of the post: -

  • To ensure, & maintain, the highest possible standards of health & safety and customer care within the Centre;
  • To develop and promote an exciting, innovative sports programme in order to increase the usage and profitability of the Centre;
  • To assume shift management responsibility for the centre;
  • To maximise the total performance of the centre;
  • To ensure the effective and efficient student delivery of the Intra-Mural and Recreation sports programme and the development of a variety of sports programmes for students, staff and community.

The Duty Manager will focus day to day on the following tasks:

  • To ensure the provision of a clean, safe, high quality facility & exciting and innovative Sports Centre programmes through appropriate checking and recording procedures;
  • To welcome users to the sports facilities, provide information and advice when requested and deal with all routine clients enquires accurately and efficiently;
  • Ensure high standards of customer care are maintained at all times, to act as a main contact for customers, dealing with complaints in an efficient and courteous manner in line with the Centres customer care policy;
  • To ensure that all facilities are prepared for use by staff, students, general customers, outside hirers and other users ensuring bookings run according to allocated time slots;
  • Ensuring effective handling of incidents/accidents including the reporting procedure;
  • To act as a main key holder for the Centre and be responsible for opening and closing of the building, internal & external security, and emergency call-outs;
  • To ensure sufficient staff are available for the safe, high quality functioning of the Centre;
  • To stay abreast of any regulatory requirements and developments relating to sport and leisure, particularly in relation to legislation, new guidelines and trends and disseminate this information to all staff in the Sports Centre;
  • To ensure all staff, UniversityCollege wide, are kept informed of the Centre’s activities and special events, through the appropriate channels of communication;
  • To assist the Director of Sport in providing induction and other appropriate staff training and development;
  • To supervise and motivate a team of staff and prepare and organise daily duties;
  • Provide cover and supervision in the Fitness Suite, Swimming Pool and Reception area as required;
  • To be responsible and accountable for the reconciliation of monies and cash handling as required;
  • To identify and assess the feasibility of new activities which the Centre could provide and to achieve maximum levels of participation in all courses and activities. Monitoring cost effectiveness and highlighting and rectifying areas of low performance;
  • To assist in the development of a programme of regular and effective consultation with all existing and potential user groups;
  • To assist in the management of the development of the Sports Centre’s quality assurance systems and procedures;
  • To act as a member of the Sports Centre Management Team on a shift rota system, during opening hours of the Centre;
  • To be on call & maintain the swimming pool over the Christmas shut down on a three year rota;
  • To deputise for the Director of Sport as requested;
  • To undertake any other duties as may be required by the Director of Sport to ensure that the business objectives of the Centre are achieved.
  • To undertake staff appraisals on an annual basis;

Specific responsibilities for the following tasks:

  • Undertakes all aspects of administration of BUSA, Intra-Mural and Recreation sports programmes;
  • Organises the day-to-day delivery of BUSA, IM and Recreation sports programmes,using the administration support already provided in the department;
  • Organisation of events and promotion of IM sport and Recreation programme, liaising with departments within and outside the UniversityCollege as appropriate;
  • Organisation of events in the local area in association with MarjonUniversityCollege’s local partners;
  • Preparation and ordering of all advertising and promotional literature for BUSA, IM sport and the Recreation programme in liaison with the University College Publicity Department;
  • Undertake the collection of data as required and production of reports based on management information;
  • Preparation and operation of budget for BUSA, IM and Recreation sports programme;
  • Undertake the ordering of all equipment for IM and Recreation sport programme and monitors its delivery;
  • Manage the development of the student Sports Federation clubs and societies;
  • To organise first aid cover for sports events as required;
  • To appoint and manage instructors and coaches employed for the BUSA, IM and Recreation programme, in line with UniversityCollege procedure;
  • To work closely with the other Duty Managers regarding the administration of BUSA & Development of Intra-Mural activities;
  • To work closely with the Director of Sport & implement the recommendations and action plan arising from the University College Strategy for Sport and contribute to the annual review and any subsequent strategies.

Generic Job Description

  • All positions within the Sports Centre are classed as regulated posts and therefore require a CRB Disclosure. It will be necessary for the postholder to be submitted for a CRB check.
  • The postholder will be required to attend and participate in ongoing training sessions. On occasions when these sessions are held outside the normal shift pattern reasonable notice will always be given.
  • Duty Managers & Recreation Assistants will be required to obtain the ISRM NPLQ & National Pool Plant Operators Qualification within six months of commencement of employment.
  • The postholder will be required to obtain a certificate in Child Protection & 4 Day at Work First Aid within the six months of employment.
  • Dress Code: Correct Uniforms must be worn at all times, clean and well presented.

  • To participate in the UniversityCollege’s annual Appraisal Scheme.

  • To attend training courses that may be identified as necessary by your Line Manager.
  • To undertake additional duties as may be reasonably required, commensurate with the level of responsibility.

ATTRIBUTES / ESSENTIAL / DESIRABLE
Qualifications:
(Professional or Vocational) / Qualified to degree level or recognised qualification in Sport/Leisure Management or related subject or previous relevant experience in a Sport/Leisure environment at management/supervisory level. / Recognised industry standard fitness qualification or equivalent.

Work related experience: / Practical knowledge of Microsoft. / Working in a University sports environment.
BUSA administration
