Role Overview:
The role of Administrative Staff in CSIRO is to provide administrative and management services to support the effective provision of research and development activities. This involves the development and implementation and/or administration of policies, systems and procedures that assist the Organisation and the Business Units to achieve their objectives and meet Government and regulatory responsibilities.
The Records Services Client Support officer is a member of a small virtual service centre team, and remotely actions a wide range of transactional electronic and hard copy record keeping activity within Records Services. Team members will be expected to action transactional requests from Records Services clients, provide record registration services for High Risk records and provision of HPRM system help desk services using the LANDesk online client request system and audit and quality control services for the Recordkeeping system.
Security Clearance:
This is a security assessed position. Applicants must be an Australian citizen, with successful candidate either holding or having the ability to obtain a Negative Vetting 1 Australian Government security clearance or undergo other employment suitability checks.

-To obtain an Australian Government security clearance, 10 years’ worth of background information verifiable by independent and reliable sources is required.
Duties and Key Result Areas:
·  Log client requests and assign to appropriate Records Services resolver groups using LANDESK.
·  Assess and respond to client requests for services using procedures and service knowledge.
·  Accurately register records in TRIM by applying existing recordkeeping codes and titling standards
·  Provide TRIM support to users (level 1)
·  Undertake TRIM system administration duties (level 1)
·  Maintain and update client support centre documentation and procedures.
·  Contribute to ongoing knowledge transfer across the Records Services team.
·  Maintain effective regular communication and relationships with clients.
·  Demonstrate initiative and actively contribute as a team member.
·  Other duties as directed. Key responsibilities may change or evolve to support the success of the Records Services function in the Enterprise organisational model and to reflect major project priorities and responsibilities.
·  Communicate effectively and respectfully with all staff, clients and suppliers in the interests of good business practice, collaboration and enhancement of CSIRO’s reputation.
·  Work proactively as part of an often regionally dispersed team, to carry out administrative tasks and provide personal assistance, under the general direction of senior administrative staff.
·  Work collaboratively with colleagues within your team, the business unit and across CSIRO, to reach objectives.
·  Provide instruction and assist other staff to complete allocated tasks and activities, as required including reviewing work of less experienced staff.
·  Provide instruction on activities pertaining to the immediate work area and responsibilities, as required and provide training to other staff.
·  Generate improved solutions in work situations, trying creative ways to deal with problems and opportunities.

Selection Criteria:

Pre-Requisites:
1.  Education/Qualifications: A tertiary qualification in Records Management or Information Management or similar and / or demonstrated sound knowledge of recordkeeping and / or relevant work experience in a records management environment
2.  Communication: Ability to communicate in a fluent and courteous manner, both orally and in writing, offering factual information supported by proven data, and providing appropriate feedback when required.
3.  Behaviours: A history of professional and respectful behaviours and attitudes in a collaborative environment.
4.  Adaptability: The ability to effectively manage a number of competing priorities simultaneously, and carry out non-routine tasks under technical direction from Senior Technical/Research staff.
5.  Problem Solving: Proven ability to investigate routine problems by identifying and considering the implications of a range of available alternative solutions.
Essential Criteria:
1.  Demonstrated ability to interpret and apply policies and record keeping procedures
2.  Demonstrated ability to understand clients issues and log, transfer and resolve requests accurately.
3.  Excellent written and verbal communication skills;
4.  Demonstrated experience and commitment to working in a geographically dispersed team.
5.  Demonstrated high level HPRM and Microsoft Office skills, with excellent data entry skills
6.  The ability to work effectively as part of a multi-disciplinary, regionally dispersed research team and carry out tasks under general direction from Senior Technical Staff.
7.  The ability & willingness to contribute novel ideas and approaches in support of scientific investigations.
