Lennox High School Athletic Boosters Meeting Minutes August 12, 2013

The Lennox High School Athletic Boosters met on August 12, 2013 at 8:00 pm in the Lennox High School Cafetorium following the Fall Sports Athletes/Parents Meeting. President Heather Herlyn was absent so Treasurer Laura Ford called the meeting to order and presented the agenda. Rick Leisinger made a motion to approve the agenda, seconded by Kristie Sweeter. Motion carried.

Secretary’s Report:

Minutes of the May 7, 2013 meeting were presented by Darla Fjerstad and reviewed. A motion was made by Dan Devries, seconded by Rick Leisinger to approve the Secretary’s minutes as presented. Motion carried.

Treasurer’s Report:

Laura Ford reported that the checking account balance as of May 1 was $11,233.10 and as of August 1 is $13,125.06. The sales from the State Track Meet on May 24 were $11,062 and expenses were $5,809 for a profit of $5,253. Dan Devries made a motion to approve the Treasurer’s Report. Kristie Sweeter seconded the motion. Motion carried.

Nomination of Officers:

In 2013-2014, Heather Herlyn has agreed to continue to serve as the President and Laura Ford will continue to serve as the Treasurer. Darla Fjerstad has resigned as Secretary. Darla was thanked for her time in serving as Secretary. Laura then presented the slate of nominations of Jennifer DeCou as Vice-President and Dawn Timmerman as Secretary. The floor was open for nominations. With no further nominations of officers presented, Kristie Sweeter made a motion to nominate Jennifer DeCou as Vice-President and Dawn Timmerman as Secretary. Justin Hinker seconded the motion. Motion carried.

Stadium Seats Fundraiser:

Laura Ford presented a quote from Dakota Sports for a stadium seat with a cost of $38. By selling them for $50, a profit of $12 could be earned. It was decided to order some stadium seats to sell with the Orioles blankets (in existing inventory) at the first couple football games.

Golf Tournament Fundraiser:

The golf tournament (18 holes) fundraiser has been scheduled at the Lenkota Golf Course on Saturday, September 28. With the goal to raise $10,000, there will be 18 four-person teams at an entrance fee of $200. The Country Club will charge the Boosters $25 per person. A quote (from Amy McAntee of AlphaGraphics) to print promotional flyers of the event was: 200 flyers printed in color ink for $130, or 200 flyers printed in black and white ink for $35. After discussion, it was agreed to print 200 flyers for $130 and send the flyers with a letter to the local businesses requesting donations of cash and/or hole sponsorship and/or items for prizes. It was suggested to also post the flyer on the school website and to send the flyers to the local golf courses in Hartford, Beresford, Freeman, Irene and Canton for them to post. Lenkota Country Club gave a quote of $450 to feed 75-80 people a sandwich, chips, cookie and drink. Lenkota Country Club would not charge any room rent if the Boosters serve their food. If the Boosters do not serve food from the Lenkota Country Club, the Boosters would be charged $150 for the room rent. It was discussed and decided to have the Lenkota Country Club serve the meal for $450. Laura will ask the Country Club if the Boosters could receive the sales profit from a traveling beer golf cart. The high school athletes will be asked to help with the coordination of events on the day of the tournament.

Concession Stand Volunteer Workers:

The coaches were asked to promote the parents and the athletes to volunteer to work in the concession stands. The Band Boosters will be executing sales in the concession stands from August to the second week of January. The parents/athletes of each sport are asked to work two events in the concession stand. Since January 1, 2013, $17,147.77 has been paid in support of all the Lennox High School sports activities. Sign-up sheets will be available at the Winter Sports Athletes/Parents meetings.

Fundraising Activities:

Other fundraising activities were presented and discussed:

(1)  Half-Time Hoop Shoot went well with the kids and made $150.

(2)  Athletes could have a car wash.

(3)  Student athletes could offer babysitting services during the Christmas shopping season.

(4)  Students athletes could stencil paint the Oriole bird logo in the driveways.

(5)  Alpha Graphics could print yard signs with “ORIOLE PRIDE”

(6)  Face painting during Homecoming Week

(7)  Sell the ‘rights’ to a front- row parking spot and the ‘best’ bleacher spot for all the football games.

Coaches Requests:

There was a request from Coach Matt Luze to purchase the on-line “Huddle Program” for five sports (wrestling, football, volleyball, girls and boys basketball) for $1,600/year. Each coach can film and distribute practice films for the athletes to view. You can also distribute highlight films for the athletes/parents to forward to prospective colleges. The school has a trial version in which you can edit the film to add notes to the plays. There are a variety of programs to choose from with different costs. For a higher cost of $2,800, the program is also available for golf and cross-country. There was discussion and a motion was made by Kristie Sweeter to purchase the “Huddle Program” for $1,600-$2,800, based upon the discretion of all the coaches to choose what program meets the needs of the LHS athletic program. Justin Hinker seconded the motion. Motion carried.

Coach Howes made a request to purchase 18 backpacks (for the varsity volleyball players, coaches and student managers) to carry warm-up shirts and shoes for a cost of $400. Kristie Sweeter made a motion to approve the purchase, seconded by Dan Devries. Motion carried.

There was a request from Coach Oltman to purchase long-sleeved tshirts or sweatshirts for the Cross Country athletes. Rick Leisinger made a motion to purchase long-sleeved tshirts or sweatshirts for the Cross Country athletes for up to $500. Seconded by Justin Hinker. Motion carried.

Dan Devries thanked the Booster Club for their purchase of warm-up shooting shirts for the Boys Basketball team.

Other Business:

The Boosters thank Scott and Laura Ford for all their leadership, time and help in the concession stand throughout the entire season.
