Westfield State University Geocaching Club Constitution
Article I
Section 1:This club shall be known as theWestfield State UniversityGeocaching Club.
Article II
Purpose
Section 1:The purpose of the Westfield State University Geocaching Club is to create a community of students and their peers who have a shared interest in geocaching. The club will provide a positive environment as well as various opportunities for geocaching among the Western New England area.
Article III
Membership
Section 1:Membership shall be open to all full-time and part-time undergraduate students of Westfield State University who have paid their student activities fee for the current academic semester.
Section 2:Members are considered to be active if they attend and participate in fifty percent(50%) of club meetings and activities.
Article IV
Officers
Section 1:The Club Officers shall consist of: President, Vice President, Secretary, and Treasurer.
Section 2:Duties of the officers.
- President- The President shall lead all meetings and activities of the club. The President shall be responsible for all preparation of club activities and meetings. The President shall be responsible for the election process. The President Shall take the duties of another officer in the case that the officer is absent, or the position is vacant. The President shall be responsible for maintaining geocaches placed by the club. The President shall attend all meetings and activities of the club.
- Vice President- The Vice President shall take the duties of the President in the case that the President is absent, or the position is vacant. The Vice President shall assist the President when necessary. The Vice President shall be responsible for coordinating with other clubs and organizations, on and off the Westfield State University campus. The Vice President shall be responsible for gaining club permissions. Permissions include, but are not limited to; Publicity, fundraising, and setting on campus geocaches. The Vice President shall attend all club meetings and activities of the club.
- Secretary- The Secretary shall take minutes at all club meetings. The Secretary shall be responsible for club advertising. Club advertising includes, but is not limited to; making flyers, Jumbotron advertisements, and using the copy center. The Secretary shall be responsible for tracking attendance at every meeting, and keeping track of club members. The Secretary shall attend all club meetings and activities of the club.
- Treasurer- The Treasurer shall be responsible for tracking and documenting all financial activities of the club. The Treasurer is responsible for reporting a current financial status at each meeting. The Treasurer is responsible for leading all fundraising activities. The Treasurer shall attend all meetings and activities of the club.
Article V
Advisors
Section 1:An Advisor shall be selected by the executive board with a majority vote. Any faculty/staff/librarian can be an advisor.
Section 2:The Advisor shall give input when necessary to the club during meetings and activities. The Advisor shall attend all meetings and activities of the club.
Article VI
Elections
Section 1:Only a club member of one (1) semester or more may run for office. To do so the member must make their candidacy known by informing the Club President.
Section 2:Only club members and current officers may vote for next term office members. The candidates will be chosen by a majority vote, fifty percent (50%) plus one (1) or more votes.
Section 3:Candidates will have time at a separate meeting before elections to present their campaign speeches.
Section 4:No election may be held if there is not a quorum of fifty percent (50%) plus one (1) of the club members must be present at meeting
Section 5:If there is a tie, the current office members only will decide.
Section 6:Officer Elections shall take place at the first meeting of April.
Section 7:A student who has held a membership with the club for one (1) full semester is eligible to run for office.
Section 8:Election voting shall be passed by a majority vote, fifty percent (50%) or more votes.
Article VII
Meetings
Section 1:The club will meet no less than two (2) times in a one (1) month period.
Section 2:The executive board and adviser(s) shall meet privately no less than two (2) times in a one (1) month period.
Section 3:Any officer or Adviser may call for a special meeting at any time.
Article VIII
Vacancies
Section 1:If the club shall find a vacancy on the executive board, the board shall seek suitable candidates from within the club. Once the suitable candidate(s) is/are found, interviews shall be held between the executive board and the candidate. After the interviews someone shall call for a vote. The candidate will be chosen by a majority vote, fifty percent (50%) plus one (1) or more votes.
Article IX
Amending Procedure
Section 1:This constitution may be amended by a two-thirds (2/3) majority vote of the voting members of the club and if approved by the Rules and Regulations committee of the Student Government Association.
Article X
Removal from office
Section 1:An officer may be asked to step down from his/her position if the officer shows no team effort, or if the officer does not fulfill his/her duties. An officer may call for a vote to remove another officer. The majority vote will win, halve (50%) plus one (1) votes.
Section 2:An Advisor may be asked to step down from his/her position if the Advisor shows they are not fulfilling his/her duties. If the executive board agrees the Advisor is not fulfilling his/her duties, the board may call for a vote to remove the Advisor. The majority vote will win, halve (50%) plus one (1) votes.
