Overview of the team and role

This role provides executive support to the General Manager Regulatory Operations Group and contributes to the coordination of Group wide activities, with the support of the Executive Officer.

The Executive Support Officer is required to work in a fast-paced environment often within rigid timelines. The role must professionally manage relationships with internal and external stakeholders, particularly with SES leaders, teams within the group, Executive Officers and Executive Assistants across Comcare.

Duties include a range of administrative activities that support Comcare business and may involve tasks which relate to finance, legal issues, human resources, program administration, marketing, contract management, property administration, case reviews, procurement and event management. An Executive Support Officer will also provide secretariat support for meetings.

Primary responsibilities

1.  Undertake active liaison with high level internal and external clients, stakeholders and service providers to gather information required to coordinate and achieve outcomes.

2.  Manage all aspects associated with the General Manager’s work schedule including telephone calls, diary management and preparation of relevant papers. Manage and respond to incoming and outgoing correspondence including follow-up and monitoring. Organise travel arrangements for the General Manager, including reconciliation and maintenance of related documentation.

3.  Collaborate with Executive Assistants and closely support the Executive Officer to achieve outcomes and facilitate the efficient operation of Regulatory Operation Group. Manage other ROG staff in day-to-day activities and mentor, guide, train, support and provide regular feedback to team/individuals to achieve goals and contribute to team outcomes.

4.  Undertake a range of administrative tasks that support the Group, including the following: records management, event coordination, monitoring expenditures against cost centres and basic procurement such as stationery and office equipment.

5.  Undertake intermediate to high level research, drafting and proofing to assist with the development of executive reports, submissions and briefs. Use tact, discretion and sensitivity when undertaking duties such as secretariat support, coordination of Senate Estimates, ministerial briefs, and papers for the group.

6.  Coordinate and manage projects and tasks, independently and in collaboration with business areas and the Executive Officer.

7.  Under limited supervision, manage enquiries and requests by prioritising actions, identifying and undertaking related tasks proactively. Interpret, analyse and apply sound judgment to provide innovative solutions for issues encountered.

Job specific capabilities

1.  Demonstrated analytical, research and problem solving skills including undertaking intermediate to high level research.

2.  Ability to manage and respond to correspondence, enquiries and requests by prioritising actions, identifying and undertaking related tasks including follow-up and monitoring.

  1. Ability to proactively identify critical issues, suggest solutions, and take appropriate action including the ability to exercise judgement, discretion and maintain confidentiality.
  2. Ability to develop and maintain stakeholder relationships.
  3. Highly developed written and oral communication skills. This includes the ability to prepare correspondence, manage sensitive information and prepare high quality reports and briefs.

Comcare uses a competitive merit process. This process will likely take approximately six weeks for shortlisting, interviewing, reference checking and offers to be made.
