STUDENT SUMMER CONFERENCE ASSISTANT - JOB DESCRIPTION

Under the direction of, and working with, the Dining and Conference Services Director, and Associate Director, in coordination with the Summer Sports Director and Facilities Operations Manager, performs and assists with the following:

Housing

•Room combinations / key checks and directional signage

•Complete room checks prior to arrival.

•Contact facilities operations for any necessary repairs; weekly meetings with a facilities manager to discuss future groups, issues, etc.

•Conference materials (emergency numbers, welcome sheet, lanyards, card holders, etc.)

•Coordinate appropriate residence hall placement for each conference/camp

•Welcome groups and assist with registration, if requested

•Assign Building PIN codes and inform security of any necessary changes

•On-call to assist with emergencies, specific requests, locked rooms, etc. A cell phone and pager will be issued and will need to be carried at all times.

•The Summer Assistant is expected to live in a University-owned residence and eat meals in a dining facility.

Conference Activities Liaison

•Communicate needs and ensure proper set-up of conference locations.

• Determine phone availability and service needs. Arrange for phone and voicemail

Services.

•Assign meal cards, request reports,track usage.

Information Technology Liaison

•Coordinatearrangements for any needed equipment - includes TV/VCR, overhead projector, screen, data projector, etc.

•Arrange for any computer requirements with Room Reservations and/or IT

•Ensure cable hook-ups are operational and lounge TV’s working

SportSchool Liaison

•Work with Summer Sports director and camp director to provide camps with any of the above requirements

•Be available at registration (generally Sunday) to greet and direct campers and parents in front of residence halls

Responsibilities Associated with Summer Sport Camps and Conferences

Two Weeks in Advance of Groups Arrival

•Room checks (initially with combinations, furniture, lights, windows, and screens) need to be performed and any problems reported directly to Facilities Operations through room check sheets.

•Provide conference group/sport school copies of floor plans and room assignment sheets for each residence hall they will use

•Prepare combination cards and place in envelopes or card holder. This should be done following initial room check to ensure combos are correct.

•Make any arrangements regarding Information Technology needs or any use of athletic facilities.

Special Skills:

• Able to work both individually and as part of a team

•Strong peopleskills and ability to relate to a varied clientele

•Good computer knowledge to include Excel and Word programs

•Detail oriented while able to see the “big picture”

•Able to accept compliments and complaints gracefully

•A valid Driver’s License is preferred, but not necessary

Period of Employment

June 1–August 1, 2016 (one term contract)

June 4 – July 31, 2017 (two term contract including the summer of 2016)

Must be able to work a flexible schedule depending on needs and workload

Compensation

Room and Board provided by St. Lawrence University

$3,218.00 salary paid bi-weekly
