Aboutthisguide

ThisguidedescribeshowtoconfigureOutlook2011toaccessyourarchiveusingEnterprise Vault IMAPaccess.

Prerequisites

Beforeyoucancompletetheconfigurationdescribedinthisguide,youneed:

■Outlook 2011.

■Thenotificationemail,whichtellsyouthatyourEnterpriseVaultarchivehasbeenenabledforIMAPaccess.ThisemailcontainsthesettingsyouneedtoconfigureOutlook2011.

Ifyouhaveaccesstomorethanonearchive,theemailcontainsthesettings youneedtoaccesseacharchive.

AddinganIMAPmailaccountinOutlook2011

ThissectiondescribeshowtoaddanIMAPmailaccountinOutlook2011,soyoucanaccessthecontentsofyourEnterpriseVaultarchive.

Beforeyoubegin,notethefollowing:

■ThesettingsthatyouneedtoconfigureOutlook2011toaccessyourarchiveareinyournotificationmessage,andontheIMAPsettingspage.Thesettings shownintheimagesinthefollowingprocedurearejustexamples.

■TheIMAPsettingspageshowsthesettingsforaccessingalltheavailable archives.ToaccesstheIMAPsettingspage,clicktheIMAPSettingslinkatthebottomoftheIMAPnotificationemail.

■Dependingonyouroperatingsystemanditsconfiguration,theimagesinthis guidemight differ fromwhatyouseeonyourownscreen.

■DependingontheconfigurationofEnterpriseVaultIMAPaccessinyourcompany,youmightnothavetoconfigurealltheoptionsshowninthisprocedure.

Asyoucompletethisprocedure,refertothenotificationemailtofindyourown settings.

Ifyouwanttoaccessmorethanonearchiveonyourdevice,youmustrepeatthis procedureforeacharchive.

ToaddanIMAPmailaccountinOutlook2011

1OpenOutlook.

2OntheToolsmenu,clickAccounts.

Ifamailaccounthasalreadybeenconfigured,itwillbeshownontheAccounts

dialogbox.TheexamplebelowshowsanExchangeaccount.

3Click+,andthenclickE-mailtoaddanewaccount.

4Entertheaccountsettingsastheyareshowninyournotificationmessage.

Ifyouhaveaccesstomorethanonearchive,andyouwanttoaccessanarchivethatisnotthedefault,theUsernamemustincludeabackslashandan identifier.Theusernameformatisshowninthenotificationmessage.Formoreinformationonthedefaultarchive,contactyour administrator.

Note:Someofthesefieldsarenotavailableuntilyouhaveenteredyouremail address.ThisincludestheTypefield,whichyoumustsettoIMAP.

Whenyouhavefinished,clickAdd Account.

5IfyournotificationmessageindicatesthatyouroutgoingSMTPserverrequires authentication,clickMoreOptions, andthenenteryourusernameandpassword.

1OpenOutlook.

2OntheToolsmenu,clickIMAPfolders.

3IntheFolderBrowser,selectthefoldersyouwanttosubscribeto,andclick

Subscribe.

Workingwithyourarchive

WhenyouhaveconfiguredtheIMAPaccountinOutlook,youcanstarttoaccess thecontentsofyourarchive.

Notethefollowingbehavior:

■Ifyousynchronizeonlyitemheaders,youcanselectanyitemtoviewitinfull inthereadingpane,ordouble-clicktheitemtoopenitinfullinanewwindow.

■Youcanreplytoandforwardthemessagesinyourarchive.OutlookdoesthisusingtheSMTPserveryouconfiguredwhenyouaddedtheIMAPmailaccount.

■YoucanuseOutlooktomanagethemessagesinyourarchive.Forexample,dependingonwhatyouradministratorhasallowed,youcanmove,copyand deletetheitemsinyourarchive.

■Youcanplacenewitemsinyourarchivebymovingorcopyingthemfromanothermailaccountonyourcomputer.
