5.1ASSOCIATE EXECUTIVE DIRECTOR

(Deputy CEO, Deputy Director, Assistant Executive Director, or Chief Operating Officer)

Responsible for the implementation of policies and procedures set by the Chief Executive Officer. Serves as Acting Chief Executive Officer in the absence of the CEO. May direct the daily activities of one or more of the organization’s operating units.

5.2CUSTOMER SERVICE SUPERVISOR

Supervises and coordinates the activities of clerical and administrative support workers.

5.3DIRECTOR OF ADMINISTRATION

Responsible for all or most of the various administrative functions of the organization, such as human resources management, support services, space allocating, and office equipment specification.

5.4EXECUTIVE DIRECTOR

(Chief (Paid) Executive Officer, President)

Advises, makes recommendations to, and assists in formulating policies for the Board of Directors; implements Board policies and directives; may oversee organization’s day-to-day activities; represents the organization to the public; reports to the Board of Directors.

5.5GENERALIST

In a small organization, is responsible for professional and/or administrative-level activities (above the clerical level) in at least two of the following areas: finance, office management, communications,special events, marketing/sales, government relations, membership services,technology services, fundraising, program services, etc.

5.6OFFICE MANAGER

Coordinates the activities of clerical personnel. Analyzes, organizes, and revises office procedures. May prepare activity reports for management. May perform some clerical and/or bookkeeping functions.

5.7REGIONAL MANAGER

Supervises the activities of the organization in a designated region. Manages the overall operations of the regional office, including the supervision of staff, budgeting and office administration.

6.1DIRECTOR OF HUMAN RESOURCES

Directs human resources functions including: Employment, compensation, benefits, training, affirmative action, and employee relations. Advises management on employmentrelated legal issues. Primary differences between Director and Manager positions: Director is a key member of the senior management team, reports to the Executive Director and typically manages professional and/or supervisory staff. Manager may report to a second level executive, be the sole human resources practitioner in a small organization, or have responsibility for implementing the human resources program but be less involved in its design.

6.2HUMAN RESOURCES ASSISTANT

Performs a variety of skilled administrative and clerical duties directly related to human resources activities. These include maintaining employee databases/files; processing status changes; assisting employees signing up/applying for benefits; screening resumes; scheduling interviews; checking references; providing information to employees on policies and procedures, etc.

6.3HUMAN RESOURCES MANAGER

Responsible for developing and organizing all human resources activities of the organization. Implements all or most of the following employee programs: recruitment, selection, employment, compensation, and training. May be responsible for any or all of the following: community/public relations; employee health & safety; employee relations; employee recreation & services; payroll; and security.

6.4HUMAN RESOURCES SPECIALIST

At the professional level, devotes the majority of his/her time to one or more of the programs supervised by the Human Resources Manager. May supervise one or more clerical employees but no professional-level employees.

7.1ACCOUNTANT

Performs accounting tasks related to one or more accounting functions. Does not have supervisory responsibility. Position normally requires a degree in accounting, or the equivalent in education and experience. Excludes clerk positions.

7.2ACCOUNT CLERK

Under supervision, performs moderately complex clerical accounting work requiring knowledge of standard bookkeeping procedures. Work may include reconciling accounts; posting to and balancing general and/or subsidiary ledgers, and preparing simple accounting reports. All work follows generally prescribed routines, with supervision being readily available. Work may require typing, filing, etc.

7.3ACCOUNTING MANAGER

Manages and performs various accounting activities including developing, implementing, and maintaining the accounting systems, policies and procedures; compiling, analyzing, and reporting accounting data for management reports and decision-making purposes; may act as primary liaison with outside auditors and government agencies on contract issues. Manages monthly closings. Typically supervises more than three staff members.

7.4BILLING CLERK

Compiles, computes, and records billing, accounting, statistical, and other numerical data for billing purposes. Prepares billing invoices for services rendered or for delivery and shipment of goods.

7.5BOOKKEEPER

Processes financial transactions and maintains records for the organization. Reconciles andbalances accounts. May perform various other duties pertaining to financial transactions.

7.6BUSINESS MANAGER

Oversees operations, including purchasing, insurance, and billing.Ensures that the organization meets its budget targets for operational income and expenses. Maintains vendorand bid records. Complies with required filings by local, state, and federal agencies for agency licensure andmanagement. Typical Requirements: bachelor's degree in management or related field with no previousexperience, or associates degree and two to four years of related experience.

7.7CASHIER

Receives and accounts for cash, credit card, and check payments for sales of goods or services. Counts and balances receipts as scheduled, ensuring accuracy. May assist in providing information to customers or clients.

7.8CHIEF FINANCIAL OFFICER

(Finance Director)

Responsible for developing financial policies and procedures and directing their implementation. Supervises the financial and accounting activities of the organization. Reports to CEO and supports the Finance/Audit Committees. In smaller organizations, may act as accountant, accounting manager, controller, and/or treasurer (paid).

7.9CONTROLLER

Directs all or most of the organization’s accounting functions; develops and maintains planning and budgeting functions; analyzes and interprets fiscal trends; and prepares financial management reports and procedures. May supervise the data processing function.

7.10JUNIOR ACCOUNT CLERK

Under close supervision, performs simple clerical accounting work such as checking, verifying, and posting journal entries and accounts payable vouchers.

7.11PAYROLL CLERK

Under supervision, prepares payroll input to computerized payroll system or calculates earnings, withholdings, and deductions. May prepare payroll checks. All work follows generally prescribed routines, with supervision being readily available.

7.12SENIOR ACCOUNT CLERK

Under general supervision, performs clerical accounting work at a paraprofessional level, including such functions as the preparation and maintenance of budget, income, and expenditure records. Work may require typing, filing, etc. Works with considerable independence.

8.1 ADMINISTRATIVE ASSISTANT

Under general supervision, performs varied clerical and typing duties. Takes and transcribes dictation for letters, reports, etc. Answers calls. May make appointments and travel arrangements. Typically provide support for one to three professionals or middle-level managers.

8.2 CLERK

Under supervision, performs a variety of clerical duties such as compiling and arranging routine data, making standard computations, processing and coding documents, maintaining records and files, etc. All work follows generally prescribed routines, with supervision being readily available.

8.3 EXECUTIVE ASSISTANT TO THE CHIEF EXECUTIVE OFFICER

Under direction, performs secretarial, confidential, and administrative assignments for the CEO, utilizing a detailed knowledge of the organization’s operations, procedures, and personnel. Within specified limits, makes independent decisions regarding the planning, organizing, and scheduling of the work involved.

8.4 JUNIOR CLERK

Under close supervision, performs clerical work such as photocopying, distributing mail, making simple calculations, maintaining records and files, etc.

8.5 MAIL CLERK

Under close supervision,opens, sorts and distributes incoming mail, messages, and/or reports. Weighs outgoing mail and applies appropriate postage.

8.6 RECEPTIONIST

Receives and greets visitors; answers calls; represents organization to callers and visitors in a friendly, professional manner; may issue security badges; maintains logs; calls for communication and other equipment service; may perform routine clerical duties such as filing, word processing, sorting, and distributing mail.

8.7 SENIOR CLERK

Under general supervision, performs a wide variety of specialized clerical functions, such as compiling and arranging data; making involved computations; preparing complex reports; maintaining comprehensive records and files, etc. Works with considerable independence. May assist in training, monitoring, and/or coordinating the activities of lower-level clerical employees.

9.1 DIRECTOR OF COMMUNICATIONS

Establishes policies to enhance image of the organization. Directs all communication activities of the organization; oversees both publications and public relations departments.

9.2 DIRECTOR OF MARKETING

Directs and coordinates all marketing activities for the organization. Supervises all activities dealing with market research, product development, sales promotion, advertising, and market development.

9.3 DIRECTOR OF PUBLIC RELATIONS

Develops, coordinates, and directs all public relations and media relations activities. Maybe responsible for speech writing, crisis communications, etc.

9.4 PUBLIC RELATIONS ASSISTANT

Assists the Director of Public Relations in planning and conducting public relations programs designed to maintain a positive image for the organization. Represents the Director of Public Relations at meetings and other events as needed.

9.5 PURCHASING COORDINATOR OR SPECIALIST

Purchases supplies from vendors based on research into price and quality. Communicates and negotiates with vendors and outside sales representatives regarding rates, vendor discounts, and incorrect orders. Maintains invoice files and other related records.

9.6 SALES MANAGER

Directs marketing, sales promotion, and advertising for the organization. Plans sales campaigns; consults with department heads and other officials to promote sales of advertising and/or publications to various markets.

9.7 SALES REPRESENTATIVE

Sells goods and/or services to businesses, groups, or individuals. Work requires substantial knowledge of products/services.

9.8 WEBSITE DEVELOPER

Develops organization’s website content. Responsible for improvement and enhancements to web function and design. Maintains technical integrity of website. Maintains servers, creates monitoring reports and logs. Monitors site for user accessibility. Establishes backup and monitors site security.

10.1 DAYCARE TEACHER

Instructs pre-school children in activities designed to promote social, physical, and intellectual growth in preparation for primary school. Plans individual and group activities to stimulate learning.

10.2 DIRECTOR OF EDUCATION

Directs all educational activities of the organization. Develops, administers, and may conduct such educational programs as seminars and workshops. Evaluates all educational programs.

10.3 EDUCATOR OR TEACHER, ADULT EDUCATION

Determines the needs of adult clients and develops/implements appropriate curricula to meet those needs. Conducts educational sessions with adult clients to improve skills and functioning. May provide supervision to teaching assistants.

10.4 TEACHER, K-12

Develops and implements grade-appropriate curricula to meet the academic and other needs of children in a K-12 classroom setting. Ensures safety and health of students. Participates in development and implementation of IEPs for specific students, as needed. Assesses and documents students’ progress. May participate in implementing therapeutic programs for students. May supervise teaching assistant(s).

10.5 TEACHING ASSISTANT, K-12

(Instructional aide, paraprofessional)

Assists the teacher in implementing educational plans and curricula in a classroom with special emphasis on maintenance of discipline and one-on-one tutoring. Reviews lesson plans with teacher to contribute information and ideas as appropriate. Supervises and works with students in small group learning situations. Implements behavior management techniques. Corrects/grades completed work.

10.6 TEACHING ASSISTANT, PRE-SCHOOL

(Instructional aide, paraprofessional)

Under supervision of a teacher, helps implement learning activities and programs. Provides nurture, care, and guidance to children, assists those with special needs andsupervises play areas.

10.7 TRAINER

Responsible for providing classroom and/or on-the-job instruction. May provide on-the-job training to clients transitioning to employment.

11.1 DIRECTOR OF GOVERNMENT RELATIONS

(Director of Public Policy)

Responsible for developing the organization’s legislative programs. Coordinates monitoring, advocacy, and/or public policy activities. Represents the interests of and serves as liaison for the organization with federal, state, and/or local governments. May present testimony when necessary.

11.2 DIRECTOR OF RESEARCH

Responsible for directing all engineering, technical, economic, demographic, statistical, and/or other research activities of the organization. Directs or performs the functions of two or more of the following: Chief Economist, Chief Statistician, and/or Chief Demographer.

11.3 LOBBYIST

Develops and maintains effective working relationships with state and other elected officials and lobbies on behalf of the agency’sor members’interests and goals. Develops and maintains a working knowledge of proposed legislation and analyzes its impact on the agency’s (or member’s) programs. Develops and maintains relationships with lobbyists from other community-based organizations to promote common goals. May speak at community events to promote participation in grassroots activities. Participates in grassroots lobbying events and provides leadership to volunteer participants.

11.5 RESEARCH ANALYST

Participates in research projects at various stages: drafting grant applications (in whole or in part), determining appropriate methods, gathering and analyzing data, and preparing/publishing final reports. Recruits participants for research and evaluation projects. Manages compilation of data. Drafts comprehensive research reports, presents findings, and conducts literature searches on topics.

11.6 RESEARCH ASSISTANT

Assists in the recruitment of participants for research projects. May interview participants in accordance with protocols. Cleans and enters qualitative and quantitative data into the database. Maintains and updates information in the database. Assists with analyses of data and report preparation.

12.1 ACCIDENTAL TECHIE

The Accidental Techie is typically found in smaller to midsize nonprofits. The organization usually has a full array of electronic office and computer equipment but does not have the finances to hire a fully qualified staff member to maintain them. Under these circumstances, an employee with the background and some of the skills evolves into an “Accidental Techie.” Responsibilities may include: troubleshooting software and hardware problems, installing new software and hardware, providing training to other staff, maintaining the donor and member database and/or the website, researching information online, and providing advice when purchasing new equipment and software.

12.2 COMPUTER NETWORK (LAN/WAN) ADMINISTRATOR

Has full knowledge of the cable plan, network design, and network software of the organizations. Locates, diagnoses, and corrects or repairs network problems. Relocates and changes computer equipment, software, and cabling as necessary.

12.3 DATA ADMINISTRATOR

Develops and maintains computerized databases, including base definition, structure, documentation, operations, and security. Sets up master files and ensures accuracy and completeness of all data; participates in exchanges of data. Protects integrity of data using proper security controls.

12.4 DATA ENTRY OPERATOR

Enters alphabetical and/or numerical data from schedules, records, invoices, and/or other sources into a computer databse.

12.5 DIRECTOR OF INFORMATION TECHNOLOGY/SERVICES

(Director of MIS)

Determines organization needs for information management and manages the development and implementation systems and programs to meet those needs in a cost-effective, timely manner. Manages information technology functions including systems applications and development, database administration, financial systems, desktop support, web site development and maintenance, intra- and inter- networks, and internal telecommunications. Advises on purchases of new computer hardware and software.

12.6 INFORMATION TECHNOLOGY MANAGER

Provides day-to-day management of information technology functions including computer operations, applications and systems programming and networks. Analyzes the needs of departments and plans, organizes and implements new and/or modified systems to handle those needs; determines costs and budgets for information technology projects and controls costs to approved budgets; identifies training needs among staff and develops/implements training programs to enhance computer skills throughout the organization.

13.1 ANNUAL FUND MANAGER

Manages and may participate in all aspects of the organization’s annual fund program.Manages and may participate in all aspects of the organization’s direct mail and/or phone fundraising programs.

13.2 DIRECTOR OF DEVELOPMENT

(Development Manager)

Directs/manages and coordinates two or more fundraising programs for the organization, such as the annual fund, planned (deferred) giving, foundation and corporate fundraising, direct mail and phone solicitations, grant proposals, donor research, donor recordkeeping, donor recognition, special fundraising events, etc.May supervise all aspects of development/grants.

13.3 DIRECTOR OF MAJOR GIFTS

Works with the development team to identify, cultivate and provide stewardship for major donors to the organization. May be called on to complete proposals, contracts, memorandums of agreement, bequests and other planned giving vehicles.May manage/participate in all aspects of the organization’s planned (deferred) giving program.

13.4 DIRECTOR OF MEMBER/CLIENT RELATIONS

(Membership/Client Director or Manager)

Administers the organization’s programs to attract and retain members/constituents/clients/affiliates and/or develop chapters. Directs promotional and recruitment programs. May act as a liaison with outside organizations. May be responsible for developing new services for members/constituents/clients/chapters/ affiliates; evaluates current services and programs for improvement. Responsible for organizing and maintaining accurate member/constituent/client and/or chapter/affiliate records for the organization. May coordinate billing activities, including maintenance of records of payments. May prepare informational packets for new members/constituents/clients.
