Salary:£26,259 pro rata

Hours:Part time, 2 or 2.5 days per week.

Duration: 9 month fixed term with 25 days annual leave pro rata plus statutory holidays.

Location:ARMA Office, Bride House, 18-20 Bride Lane, London, EC4Y 8EE with flexibilityto work from home on occasions.

Job Purpose

To support the CEO of ARMA in delivering the ARMA work programme. Main areas of work include: services to members; fundraising and servicing ARMA’s governance bodies; providing administrative support. This is a highly varied job where the post-holder will be required to provide direct support to the CEO on some projects, but also to manage projects and areas of work him/herself. S/he will also provide general administrative support to the Charity, its officers and its membership.

Although the post-holder will have supervision from the CEO, s/he will need to manage his/her own workload, and to liaise directly with Trustees and Officers of ARMA where appropriate. S/he will also be responsible for ensuring ARMA’s members and contacts receive the high level of customer service appropriate for an umbrella organisation.

This is a very exciting period for ARMA and the musculoskeletal community in general. The work is likely to be highly varied and will require excellent organisational skills, as well as enthusiasm, energy and creativity.

Specific duties of the post-holder

  1. To provide administrative support for ARMA as required by the CEO:
  1. To provide a first point of contact including handling telephone calls, dealing with general enquiries
  2. To liaise with Member organisations and provide a high quality of customer service
  3. To liaise with trustees, other staff, external bodies and associated organisations etc
  4. To produce general correspondence, e-mails, faxes, etc
  5. To provide administrative support including drafting responses and minute taking etc
  6. To provide general support, such as developing and maintaining filing systems, managing information, setting-up and keeping records
  7. To manage and co-ordinate diaries, arrange meetings and sort out travel arrangements.
  1. To provide support for, and/or undertake directly, specific projects for ARMA:
  1. To gather information, undertake research and produce reports
  2. To organise events for ARMA and its members, including conferences, debates and open meetings
  3. To assist with the management of specific projects in areas such as media, parliamentary work, policy and personnel
  4. To assist the CEO with other areas of his work as required
  1. To assist with the servicing and the co-ordination of ARMA meetings as required:
  1. To organise and service Board meetings, CEO meetings, Policy Leads meetings and working groups, as required
  2. To prepare and circulate agendas, attend take minutes, draft correspondence, disseminate information and co-ordinate mailings, and undertake follow-up action as appropriate
  1. To assist with finance and fundraising:
  1. To manage payments to suppliers and staff
  2. Updating of financial records
  3. To maintain a fundraising database and paper records
  4. To draft applications and fundraising project reports under the supervision of the CEO.
  1. To support the CEO in managing communications and servicing of EULAR PARE/ BJD:
  1. To update and manage content for both the website and monthly mailings
  2. To prepare news updates or newsletters in conjunction with the officers of the Committees
  3. To circulate information mailings and act as point of first contact for Committee Members
  4. To provide administrative support to officers of the Committees
  5. To assist the CEO in organising meetings
  6. To maintain records
  1. To undertake other general ARMA office duties, alongside other staff, as required, including:
  1. Answering the telephone, filtering calls and dealing with general queries
  2. Reception duties including greeting visitors, providing refreshments, making tea and coffee for visitors attending meetings at the BSR offices
  3. Attend ARMA meetings in London or where required - Time Off in Lieu (TOIL) will be awarded
  4. Undertaking training for new software etc., as required
  5. Other administrative duties, as required.
