DOCUMENT 2: SUBMITTING AN APPLICATION FOR DEPARTMENTAL RESEARCH TRUST FUNDS
Preamble
The purpose of this document is to assist the Department Research Committee (DRC) in achieving its mandate to foster, facilitate and co-ordinate research by members of the Department of Family Medicine. Faculty, residents, and students in the Masters of Clinical Science program of the Department of Family Medicine can apply to the Research Trust Fund.

Limited research trust funds are available: (a) to encourage new projects/activities likely to lead to further research and external funding, or (b) to support the completion of an existing project.
- Faculty funding requests must be made using the “Request for Support of Research Project” form (Form 1).
- Family Medicine Residents, Masters of Clinical Science students must submit funding requests using the “Request for Resident/Graduate Student Project Funding” (Form 2) if the research will be limited to one Centre. If research will involve more than one Centre, the resident and graduate student must complete the “Request for Support of Research Project” form (Form 1).
- Both the “Request for Support of Research Project” form and the “Request for Resident/Graduate Student Research Project Funding” form require a brief description of the research question/hypotheses, objectives, methodology, a literature review, and budget amount requested. A separate page should outline the amount of funds requested, their specific use, and indications of other sources of support in dollars or in kind. Projects involving human subjects require ethical approval. - The process of submitting, reviewing and implementing proposals includes submission directly to the chair of the DRC (through Ms. Kennedy. The Chair or his/her delegate will arrange for review of the project, relay any necessary suggestions for modification, ultimately recommending or not recommending the proposal to the DRC. Relevance to Family Medicine, appropriate methodology, and judged capacity to complete the proposed work will be important criteria in review. If recommended by the DRC, the Chair will present the proposal to the Departmental Committee for final approval. The applicant will be informed by the Chair of the DRC. Once approved, funds for the proposal are accessed through the submission of original receipts/invoices to Ms. Jody Moon of the Department of Family Medicine. Please note that the process from submission to approval may take up to four months.
- The total amount of funds available will vary from year to year.The number of successful applications is subject to the availability of funds in each funding period. In the event that the amount of funds requested exceeds the amount available, applicants may receive prorated funding.
- Faculty members should seek other possible funding sources initially. Ms. Mady Hymowitz, Senior Consultant, Research, at the Faculty of Medicine and Dentistry (x 86252), and Communications and Training Research Development Services (x80182) should be contacted regarding other sources of funds.
- There is a $500 maximum on equipment allowed per application. Equipment purchased will be returned to the Department of Family Medicine at the end of the project/study. No request for travel funds will be considered.
- Faculty Requests: A maximum of $2,500 is available per faculty request.
- MClSc Students: A maximum of $1,500 is available per MClSc student request. In addition to the guidelines in #7, funds will not be available to hire individuals to work on the study other than for transcription or translation.
- Resident Requests: There will be $4,000 total available each year for residents. Residents may request up to $1,000 for their research project support. In addition to the guidelines outlined in #7, funds will not be available to hire individuals to work on the study other than for transcription or translation.
- There are two application deadlines for all funding requests: October 1st and February 1st.
- Under special circumstances, Research Trust Fund capital may be drawn on by Departmental direction to provide infrastructure support that can be shown to benefit the Department’s research activities. This will occur in consultation with the Chair of the Department, the Director of the Centre for Studies in Family Medicine and the chairs of the Research and Records and Quality of Care committees for amounts up to $5,000, or by Departmental Committee approval for larger amounts or when consensus was not reached for smaller amounts.
