HEARTS of NORTHWICH COMMUNITY FESTIVAL /BRIEFING NOTES:
1. Floor space requested. / The standard floor spaces available are
2 metres x 1 metre
1 metre x 1 metre
0.5 metres x 0.5 metres
Note:
Organisations will be expected to make full use of the allocated floor space.
2. Type of display / stand / Please let us know if you intend to bring your own display stands or tables or if you would like to borrow a Church table (these are limited in number).
Alternatively you may wish to bring a small display that stands on a chair or hangs up.
NOTE**
St Helen’s Church will be open for the Community Coffee Pot on Saturday 6th September and Saturday 4th October 2014 between 10:00 am and 12:00 noon.
Anyone wishing to look round and discuss how the displays will work is very welcome to call in. Someone from the Hearts of Northwich Community Festival team will be available.
3. Stall / stand decorations / All organisations are strongly encouraged to decorate their stall / stand or present their organisation using the broad theme of ‘Hearts’. The more imaginative and colourful the display the better.
(Sorry NO HELIUM BALLOONS)
4. Manning / It is not essential that you ‘man’ your stall / stand all day – this is entirely up to your organisation to decide.
5. Selling /fund raising / This is not a market event. Organisations are not allowed to carry out direct fund raising / selling activities on the day or to have collecting tins.
Organisations are very much encouraged to use the opportunity to recruit future volunteers or other supporters and for that purpose are encouraged to have take-away leaflets or any other appropriate promotional materials.
** If you would like to operate some type of simple game at your display stall for which there is a small charge please send details for assessment / approval. These will be strictly limited but may be approved if the organisers feel it will add to the nature of the event.
6. Setting up and Clearing away. / Arrangements will be made with organisations to set up on either Friday afternoon / evening 13th February or early morning Saturday 14th February.
Setting up must be completed by 9:45 am on the Saturday.
We would like some of the displays to remain in situ for the Saturday evening and then Sunday however it will not be practical for all stalls / stands to remain. Please let us know your preferred clearing away time.
Note: Anything remaining when the doors are locked at 10:00 am on Monday will be taken away by the organisers.
7. Refreshments and entertainment / Refreshments will be on sale throughout the day. Ad hoc entertainment will also go on throughout the day.
8. Organisation and Constitution / The following is an extract from Hearts of Northwich Community Festival mandate:
Objectives:
Firstly / To create and deliver a high quality community event for the town of Northwich and surrounding environs to enjoy and participate in. The main festival events to be held at St Helen’s Parish Church, NorthwichSecondly / To deliver the first event in February 2015 in such a way that it creates the template for this to become a ‘must have’ annual event in Northwich.
Thirdly
(and least important) / To raise funds for good causes.
Note: The good cause pre selected (only) for the first event in February 2015 is Under The Mango Tree Registered charity number 1156094
9. Review / It is intended that all groups attending the event will be invited to attend a lessons learned meeting to be planned for March or April 2015 in order to consider holding a similar event in 2016.
