Guidance notes for completing your application form

All applicants must use a Challengers Application Form to apply. The information you provide in your application form is used by us when we decide whether or not you will be selected to attend an interview and also as a basis for the interview itself. Your application form is, therefore, very important and we give the following advice to help you complete it as effectively as possible.

Equal Opportunities and Disclosure section will be detached from the rest of the application form and kept in a confidential/secure place. This will ensure an unbiased/unprejudiced selection of candidates in line with equality, diversity principles and good practice.

Supporting Information

JOB DESCRIPTION: Quality Team Administrative Assistant

REPORTING TO: HR Officer

ACCOUNTABLE TO: Head of Quality, Chief Executive Officer, Quality Team, Operations Team, and other Administrative Staff.

Part-time 25 Hours per week

MAIN DUTIES AND RESPONSIBILITIES

What the job involves

1.  To be part of Challengers Quality Team.

2.  To support your colleagues to implement procedures and systems which ensure high quality recruitment, HR, volunteering, engagement and training services for Staff, volunteers and the children and families who use our services.

3.  Support the Chief Executive Officer to organise Trustee meetings, managing the calendar of meetings and gathering and sharing papers with Trustees and Senior Managers.

4.  Attend Trustee meetings to take notes. (These are normally early evenings, approximately one a month which you will get TOIL for.)

5.  Support the Quality team to implement the various administrative procedures for Challengers staff and volunteers. This will include, but is not exclusive to, procedures such as creating and updating database records, processing applications and other recruitment paperwork, electronic filing for HR and training, maintaining records on the online training portal, data entry for KPIs and recording feedback from engagement sessions.

6.  Support the Team with any administrative duties as required, including managing reception, answering phones, taking messages, promotional mail outs and general document filing.

7.  Represent Challengers and be an advocate for disabled children and young people.

8.  Support the team to comply with the Health and Safety at Work Act (information available from Challengers).

9.  To report any concern about a child’s or young adults welfare or safety in accordance with Challengers Safeguarding Policy and Procedure.

10.  To perform any other duties as they become necessary at the discretion of the Head of Quality and the CEO.

PERSON SPECIFICATION

Qualities, character, attitude and experience required

To conduct yourself and represent the Charity in a manner which reflects all the values of The Challengers Approach at all times.

Essential:

·  This role requires an exceptional attention to detail, organised approach and an understanding of the confidential nature of the data that is being accessed.

·  Experience of administrative work.

·  An ability to prioritise and manage own workload.

·  An ability to sustain professional relationships and communicate with a range of people – including other professionals, community groups, disabled children and their families/carers in a professional and effective manner.

·  Able to work in a busy team often in an informal working environment.

·  A familiarity with and ability to use Windows-based applications (email, word processing, spreadsheets) and database management skills and the ability to produce clear, concise reports.

·  Commitment to Equal Opportunities and Inclusion.

·  Prepared to attend training and to learn new skills which will include Safeguarding and Disability Equality.

·  Although the post is not ‘hands on’ play or youth work, the post holder will need to come with or be prepared to develop their understanding of the importance of all children’s need to play and an understanding of the barriers to inclusion that disabled children and their families experience.
