Job Overview:

Under the supervision of the Women’s Center Director, the Front Desk Receptionist is responsible for overseeing, facilitating, and coordinating activities in the Reception Area at the Women’s Center. This includes maintaining a high level of safety and security by managing both incoming and outgoing traffic through the area, screening all visitors and clients, monitoring the security system, managing all incoming calls, and entry into the center. She will calmly and compassionately manage crisis and emergencies as they arise, ensuring client, staff, volunteer, and visitor safety. Shewill be responsible for duties in other areas of the center to ensure that the goals and objectives of the program are carried out according to the Women’s Center Policies and Procedures. In conjunction with the Center Director, the Front Desk Manager will coordinate the staffing schedule of the Center.

Job Qualifications:

  • Must conform to KCRM “Qualification for Employment” and support the KCRM “Statement of Belief” as outlined in the Employee Handbook. Commitment to the principles of KCRM, its aims and objectives as an organization including a personal relationship with Jesus Christ as Savior
  • Minimum of 2 years’ experience in the social service field with knowledge, sensitivity, and experience in areas focused on women’s needs including homelessness, domestic violence, trauma, substance abuse, mental health and/or other life dominating challenges. Bachelor’s Degree preferred and valid driver’s license required
  • Committed to increasing personal knowledge in understanding homeless services
  • Excellent follow-up skills, analytical thinking, and the ability to find creative solutions
  • Demonstrate an ability to work and interact appropriately in the field with people from diverse backgrounds. Must be compassionate and understanding of the clients
  • Excellent written and oral communication skills
  • Knowledgeable and proficient in Word, Excel, and Outlook
  • Ability to multi-task, organize, prioritize, pay attention to detail, and to complete tasks in a professional timely manner
  • Ability to both take direction and to work autonomously when necessary
  • Ability to work effectively in a fast-paced and dynamic environment while exposed to the disturbing emotional and physical traumas of clients
  • Ability and willingness to work as a team member and support the mission and goals of the KCRM Women’s Center
  • Understands safety risks faced by women and staff confronting issues of domestic violence, human trafficking, mental illness, and substance abuse
  • Commitment to the confidentiality and safety of women in the Center; strict adherence to the KCRM Women’s Center policies and procedures

Duties and Responsibilities

  • Responsible for overseeing activities of clients that take place during the shift; ensuring client needs are met
  • Ensure that the center is safe and secure by screening anyone coming into the center;managing sign-in sheet, issuing visitor and volunteer passes, administering breathalyzer, monitoring curfews, backing up staff, and ensuring no contraband is brought in
  • Maintain a hospitable and welcoming reception to everyone entering the Women’s Center
  • Assist with health-care and medical needs of clients; as well as security of medication; which includes monitoring access to medication, client compliance with prescribed medication, completing medication log, and properly securing all medication and first aid supplies
  • Facilitate an environment that promotes relaxation, peaceful and restorative rest
  • Proactively maintain a high level of safety and security by managing the Women’s Center Campus, security system, phone calls, , entry doors and resident safety
  • Maintain accurate records, data bases, statistical information, and documentation of all observations, including clients and their activities, behaviors, progress and length of stay
  • Manage and process all client emergencies according to policy, and coordinate client exit strategies in partnership with the program staff and Resident Manager
  • Assist and/or manage meal times which include taking inventory of food stock, coordinating meals, serving food, and assistingin healthy meal preparation by clients or volunteers
  • Maintain policies regarding confidentiality
  • Enforce the Women’s Center Guidelines and Code of Conduct through verbal reminders and handle violations according to policy
  • If applicable on shift, perform bed checks, along with the Resident Manager, to ensure women are on the premises and in their rooms by curfew
  • Participate in relative trainings and team meetings such as CPR, first aid, non-violent crisis intervention, staff meetings, etc.
  • Appropriately handle conflicts among clients, staff, and volunteers; maintaining professionalism with an ability to de-escalate aggressive behaviors and communication (quiet voice, empathy, understanding, and a Christ-like example)
  • Identify gaps and strengths in safety and security, working with the Center Director and Facility/Operations Manager to ensure that all needs are met
  • Enforce the Women’s Center Guidelines and Code of Conduct through verbal reminders; handle violations according to policy; and document all client activities
  • Implement evacuation procedures and emergency response procedures as needed
  • Oversee volunteers, input data into the volunteer and donor data base, provide resources for volunteers, and help determine service projects
  • Attend staff meetings, necessary trainings as assigned, and communicate with the Center Director about activities, staffing, and needs of the Center
  • Maintain cleanliness of the reception area, administrative area, classroom, staff bathroom, and other areas
  • Ensure that all shifts of the center are properly staffed and other duties as assigned
