Job Title :Ward Inventory Controller
Grade :A & C 4
Managed by :Logistics Manager
Accountable to :Supplies & Logistics Manager
2.JOB SUMMARY
To provide an efficient & cost effective Materials Management service to wards/departments.

4.RESPONSIBILITIES/RELATIONSHIPS
4.1To understand & work within the Trusts’ and Supplies Team policies & ISO9002 procedures, applicable
to the post.
4.2To maintain the agreed stock levels on wards/departments.
4.3To liaise with other staff in the Supplies Team and other teams within the Facilities Directorate where necessary.
5.MATERIALS MANAGEMENT
5.1To establish & maintain optimum stock levels, to ensure shelves are clearly labelled and/or bar-coded
for easy identification of products.
5.2To visit wards/departments, as designated, on a weekly cycle and with the use of hand held data
capture unit, take inventory of stock items and record requirements to replenish shelves to agreed
optimum stock levels. To also ensure that wards/departments have sufficient stocks for weekends
and bank holidays
5.3To download the information, from data capture unit, to NHS Logistics Distribution Centre via a
VDU or PC and to produce requisition of required items, to be handed to ward/department personnel.
5.4To assist with the unpacking of pallets and tote boxes and sort into wards/departments, when goods
are delivered from Distribution Centre.
5.5To unpack and check goods received against copy of requisition, ensuring that any discrepancies are
noted and reported to the Customer Services section of NHS Logistics Distribution Centre via fax.
To deliver items to wards/departments and replenish shelves ensuring that stocks are rotated.
5.6To meet, on a regular basis, with Ward/Departmental Managers to discuss rationalisation of Materials Management items and to implement any changes required including the removal of excessive or redundant stock.
5.7To action, correctly authorised, requests from Wards/Departments for additions and/or deletions to Materials Management items and produce updated paperwork, i.e. bar-coding information
5.8To deliver any stock or non-stock items to wards/departments as required by Logistics Manager.
5.9To assist the Logistics Manager in maintaining summaries of issues to wards/departments and in
the provision of data for management purposes.
6 GENERAL DUTIES
6.1To deal with general queries and enquiries made while undertaking ward inventory duties, reporting
any problems to the Logistics Manager.
6.2To assist in ensuring maximum security of Goods Receiving store and goods therein at all times.
6.3To help keep the Goods Receiving store clean & tidy at all times.
6.4To provide cover for tasks carried out within the Supplies Team to ensure throughput performance standards are met.
6.5To ensure that all filing and general clerical duties relating to the Materials Management service
for designated wards/departments are kept up to date.
6.6To act as general liaison with customers of the Supplies Team and work towards a mutually agreed provision of the Supplies service.

7.6Waste Disposal
All staff must ensure that waste produced within the Trust is disposed of in such ways that control risk to health and safety of staff and the public alike in accordance with relevant legislation and procedures contained within the policy.
7.7Appearance
This post requires the post holder to be clean & smart in appearance and to wear the Supplies Team uniform and safety footwear as per Facilities Directorate policy (copy attached).
