CONDITIONS OF HIRE FOR HAYDON HILL COMMUNITY CENTRE

The following conditions apply to all persons booking the centre and activities.

Failure to comply may result in the forfeiture of deposit.

1)  All activities shall cease and the centre cleaned and vacated by the agreed finishing time.

2)  The HHCA does NOT have a licence to sell alcohol. All hirers shall check whether a licence is required for their activity and hirers are responsible for obtaining whatever licence(s) are applicable. E.g. Gaming, Public Performance, Performing Rights etc, with the exception of a Public Entertainment Licence which the HHCA does hold and is displayed in the centre for your convenience.

3)  Music (where applicable) shall NOT be played after 11pm for any function and shall NOT be played at a level as to cause nuisance to nearby residence.

4)  The main front door of the centre shall be kept closed at all times that the centre is in use and hirers should ensure that neither they, nor their guests use the area in front of the community centre for their activities.

5)  Nuisance to nearby residence shall be avoided at all times. When vacating the centre at night, please ensure that you and your guests do so in a quiet and orderly fashion.

6)  Cars shall not be parked so as to cause an obstruction to the front entrance, nor to adjacent residential properties.

7)  The illuminated fire exit signs shall be switched on at all times that the centre is occupied.

8)  The two (2) internal fire doors (to kitchen and to store room) are fitted with automatic closers and the Hirer shall ensure that these doors remain closed when not in use.

9)  The Hirer shall ensure that all fire exits are kept clear when the centre is open.

10)  Fire fighting equipment shall not be moved, or used for any other than its original purpose.

11)  The Hirer shall be responsible for ensuring that all cigarettes are properly extinguished and disposed of. Hirers shall be responsible for providing suitable ashtrays for their guests and shall ensure that cigarettes are NOT extinguished on the centre’s vinyl flooring.

12)  The Hirer shall ensure that the gate to the backyard of the centre remains unlocked at all times that the centre is occupied.

13)  The Hirer shall be responsible for the sweeping and mopping (if soiled) of the floor prior to vacating the centre. Leaving it in the same state of cleanliness, as it was found prior to commencement of hire. The cost of any additional cleaning required, in order return the centre to such condition after use, shall be met by the Hirer. NB. If it is necessary to mop, to protect the floor seal/polish, only washing up liquid should be used to mop the floor.

14)  All rubbish shall be removed from the centre at the end of the hired session.

15)  The Hirer shall be responsible to clean and return all furniture to its original position within the centre.

16)  Haydon Hill Community Association does not accept responsibility for any loss, damage or injury occurring within or in the immediate vicinity of the Centre.

17)  Unless prior written permission has been obtained from the HHCA, no animals, except guide dogs, shall be allowed in the centre.

18)  No goods or equipment shall be stored at the Centre, without the prior written permission of the HHCA.

19)  The Centre shall only be hired to an individual who has attained the age of eighteen (18). The Hirer and one additional person who has also attained the age of eighteen (18) shall be present at all times during the hire period.

20)  The HHCA shall reserve the right to refuse an application to hire the Centre.

21)  A refundable deposit shall be held by the HHCA Community Development Officer, and shall be returned subject to a satisfactory inspection of the Centre, at the end of the hire session.

22)  The Hirer shall be responsible for the full costs of any damage to the Centre and its contents.

23)  All fees and charges must be paid in advance (cheques made payable to ‘Haydon Hill Community Association). Whereby the hire of the centre is confirmed.

24)  The HHCA reserve the right to retain the ‘hire fee’ if the Hirer fails to notify the Community Development Officer of cancellation of an event less than twenty-eight (28) days before that event.

25)  The Centre has a maximum capacity of fifty (50) seated, or with equipment, and one hundred (100) standing or dancing. On no account shall the Hirer allow these numbers to be exceeded.

26)  Keys are obtained from the Community Development Officer and shall only be used to gain access to the Centre at the pre-arranged times. Keys shall be returned to the Community Development Officer at the end of the hire session.

27)  The Hirer shall ensure that all doors, gate and windows are secure following the end of the hire session. If any problems occur closing doors etc, inform HHCA Community Development Officer immediately.

28)  Hirers are NOT permitted to offer for sub-let or re-hire the centre and/or its contents.

29)  No nails, screws, adhesive tape, shall be fixed to any wall, floor, doors or ceiling at the centre, or to any of its fittings and fixtures, including furniture and decorative surfaces. Only use hooks provided on walls, to attach balloons banners etc. These must be removed at end of session.
