Financial Support Coordinator

REPORTS TO: Executive Director

POSITION: Primary function is to provide support of all accounting functions and financial affairs for Luther Manor Communities.

POSITION QUALIFICATIONS:

§  Associates Degree in Accounting or Equivalent is preferred.

§  Minimum 2 years of professional accounting experience required.

§  Working knowledge with various accounting software, database programs, spreadsheets, and other Microsoft Office programs.

§  Good Communication Skills.

§  Must be able to read, write and speak fluent English.

PHYSICAL REQUIREMENTS:

§  Sitting: 3-7 hours/day

§  Standing: 1-3 hours/day

§  Walking: 1-3 hours/day

§  Lifting: 10-25 lbs good body mechanics

§  Endurance: Moderate energy requirements (5-7 mets)

MENTAL DEMANDS:

§  Must demonstrate mature judgment and demonstrate excellent problem solving skills.

§  Demonstrate ability to develop and maintain good interpersonal relations with staff, residents, family members, board of directors & others.

§  Able to explain accounting & billing practices to all interested parties and create reports that are understandable.

§  Able to work with State and Federal entities to ensure proper billing practices and accurate payments.

WORK ENVIRONMENT:

§  Work primarily indoors in a well-illuminated, reasonably climate-controlled environment.

§  Involve possibility of exposure to communicable disease.

§  Work with frequent interruptions.

§  Must be flexible with work schedule to work various hours as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Financial Reports:

§  Assist in the preparation of monthly financial statements including the balance sheet, and income statements

§  Assist in the preparation of prepared by client schedules for the annual audit and work with the auditors as needed.

§  Oversee posting and reconciling fixed asset schedule monthly.

Accounting Systems/Processes:

§  Assist Financial Coordinator and Human Resources in payroll functions by submitting Federal & State regulatory reports and taxes; health insurance payments; and 401(k) contribution payments.

§  Assist with posting activity in the Resident Trust Accounts. Reconcile account balances to bank.

§  Reconcile and review all bank accounts to general ledger.

§  Communicate problems with Executive Director to resolve any issues.

Accounts Receivable:

§  Assist Billing Coordinator in the preparation of resident invoices for all resident communities and services.

§  Follow established policies for Accounts Receivable for follow up and collection.

§  Assist in the review and monitoring accounts receivable and accounts payable systems and processes.

§  Review past due accounts with accounts Billing Coordinator.

§  Review at least monthly, the accounts receivable aging statements with Billing Coordinator.

§  Assist Billing Coordinator with the Medicare billing process and other third party billings.

§  Assist Billing Coordinator with the Medicaid billing process.

§  Assist Billing Coordinator in the research of billing discrepancies and delayed payments to resolve outstanding issues

§  Prepare accounts receivable reports for the Executive Director and Auditors.

Accounts Payable:

§  Assist Financial Coordinator the accounts payable process.

§  Review software and systems related to accounts payable.

§  Assist Financial Coordinator in calculating and submitting payroll taxes in timely manner.

§  Review and update the chart of accounts on an annual basis, verify accuracy of coding.

§  Do random checks on accounts payable to ensure they are coded to the proper account and that they are paid on a timely basis.

Loans:

§  Assist in tracking monthly payments and schedule for all loans.

§  Track due dates or changes in interest rates for each loan.

§  Calculate interest paid for monthly financial statements and for the annual budget.

Reserves:

§  Oversee the monthly calculation and updating of Luther Manor reserves.

§  Contact banks to get renewal rates. Call the treasurer of Luther Manor Board with this information.

§  Ensure that enough cash is available to cover expenses.

Foundation:

§  Prepare Foundation board financial reports.

§  Review quarterly statements for the Luther Manor foundation.

§  Attend foundation meetings, as needed.

Administrative:

§  Work in conjunction with the Executive Director, Administrator and Human Resources Director on all Luther Manor Communities financial aspects.

§  Attend finance committee meetings as needed.

§  Attend weekly Medicare meetings.

§  Supervise receptionist staff and scheduling to ensure adequate coverage.

§  Assist Financial Coordinator with maintaining proper record retention and safeguarding of financial records, board meeting materials and foundation materials.

Marketing & Development

§  Assist Financial Coordinator in tracking gifts, preparing thank you letters, and maintaining temporarily restricted asset schedules.

§  Work with Executive Director and Administrator to identify annual campaign needs.

§  Assist Executive Director in submitting grants.

General:

§  Provide backup phone support and answers the phone in a professional and courteous manner. n the policies of Luther Manor.

§  Provide assistance on special assignments, projects, and committees as delegated by the Executive Director.

§  Other duties as assigned.

Education

§  Complete all in-service education programs mandated by federal, state, and company guidelines.

§  Ensure that finance department staff have necessary training & in-services to complete their work.
