AGM AGENDA

  1. Next AGM hall be held in Society Community Hall at 1030h on 04Mar18(Sun). Only Permanent members may attend.
  2. Agenda points to be discussed are :-
  3. Election Schedule.- It is proposed to conduct Annual election for 18-19 on 08 Apr 18( Sun). Election and s/by Election officer( EO) and three Appellate committee members may be selected by the House. Detailed eligibility conditions for Appellate committee, EO, contestants, voters is at Annx A . Election schedule shall be finalized by the EO. House may approve the same to enable the EO to take over the election process.

Election codedoes not permit any policy or financial decision tobe taken till elections are over. MANAGEMENT SHALL ALSO NOT INTERVENE IN ELECTION PROCESS TILL OVER.

Election of BoM members, Screening and Mandir committee shall be during H/T/O GBM post - elections. Volunteers shall be asked after main election is over.

  1. Appointment of CA for 18-19:-ShShalinPoddar is the current CA for Society accounts and audit. He may be re-appointed for 2018-19 period..
  2. IT Notice: Notice to pay Rs 5.3 lacs for undeclared FD interest as Income in IT return for F/Y 09-10 has been received. Appeal has been sent to IT Commissioner which may not be conceded. Similar Notice for F/Y 10-11 is anticipated for approx Rs 7 lacs. For this reason, Community hall renovation , approved earlier for Rs 12 lacs , is put on hold.
  3. Dues o/s:- As on date, Rs 9.3 lacs( it was Rs 12.41 lacs in Jun17 ) is due from residents on various account. List attached at App B for defaulters beyond Rs 10000/- each. House may pass a Resolution to give Legal notice to them and follow up till dues are recovered. House may recommend any Legal firm willing to assist.
  4. Resignation/ Induction:- VP Capt A Wason and Secretary HFO AK Dixit have resigned on 19/2/18. Interim nominations are received for HFOAK Gupta as VP and MWO PR Pandey as Secretary to assist the Society in routine matters. House may ratify the two resignations and induction of the Interim members for routine matters till elections are over.
  5. Resurfacing of Roads:- Constraints of funding for total resurfacing. Patch work on required basis shall be done.
  6. Dog menace:- GNIDA approached to assist us in removing the menace. No dedicated team of dog-catchers available presently. Residents urged not to feed
  7. stray dogs or permit them to multiply. Details of willful offenders be given in writing to estate Mgr for counseling them by Management.
  8. Unwanted materials in common areas. Items like old cycles, scooters, building materials etc in common areas is giving a shabby look to the Society. Residents are to remove them at their cost and effort.
  9. Theft cases:- Residents should not keep valuables in their flats andkeep their neighbors and Security section informed about daily routine absence, especially for working couples. Besides medium to long absence be intimated to their neighbors and Security section. An Advisory to be given accordingly.

ELIGIBILITY CONDITIONS FOR EOs / APPELATE COMMITTEE

  1. Any individual whose name appears in the VOTER LIST is Eligible.
  2. They cannot stand for any Mgmt Committee post.

ELIGIBILITY CONDITIONS FOR CONTESTENTS

  1. Permanent residents who are residing in the RWA and have cleared all Society dues as on 31/12/17 are eligible.
  2. Any individual whose name does not appear in the VOTER LIST is not eligible to contest.
  3. In case of joint ownership ,only the first named in the Registration papers is eligible.
  4. Any contestant who has held same Management committee post for two consecutive terms, is not eligible to contest for same post.
  5. Any contestant having any business interest with the Society, is not eligible to contest.
  6. Any contestant who has any criminal FIR lodged against him or is not physically and mentally fit to discharge Society duties, is not eligible to contest.
  7. Contestant should be able to devote approx 4 hrs daily ( less holidays) from 10AM onwards for Society affairs. For this reason working / in-service contestants are not desirable.

ELIGIBILITY CONDITIONS FOR VOTERS

  1. Any individual whose name does not appear in the VOTER LIST is not eligible to vote.
  2. All owners who clear all / any society dues as on 31/12/17, are eligible to vote.
  3. Permanent residents can vote as per number of flats owned by the individual as First Owner.
  4. Voters should possess some valid identification document at the time of casting of vote.
  5. In case of joint ownership, the first named in Registry papers shall exercise the right to vote .In case he / she is not available on voting day, the joint owner may be authorized to vote on submitting following authorization letter to Election Offr, prior to voting date :-
