Job Title: Finance Officer – freelance contract

Salary: £20.60 per hour up to 364 hours per year

Responsible to: Director - CDET

Key Relationships (Internal): Director and Hon Treasurer

Key Relationships (External): Accountants, Auditors and Bank Staff

Start Date: Immediate

Hours: 7 hours per week (excluding lunch) with flexible office hours between 9.30 am – 5.00 pm

Base: Normally at CDET’s office at Old Brewer’s Yard, 17 – 19 Neal Street, Covent Garden, London WC2H 9UY

Notice period: One month

Purpose of Post

To manage all financial operations of the organisation including: accounting for expenditure and income, producing financial reports, preparing working and annual budgets and managing cash flow and all financial transactions.

ESSENTIAL DUTIES

Working to the Director:

Systems:

  1. Maintaining and updating accounts using SAGE accountancy package.
  2. Train identified CDET staff in using systems and producing reports.
  3. Ensuring coding system is adhered to and revisions made as necessary.
  4. Reviewing internal financial procedures and recommending changes.
  5. Maintain separate funds for each project area
  6. Incorporate SAGE forms (invoices etc.) into financial processes.

Financial operations:

  1. Advise Director on budget setting for core and project expenditure
  2. Produce cash flows for core areas and projects
  3. Monitor budgets with key staff members
  4. Produce monthly reports and bank reconciliations
  5. Raise invoices and prepare cheques for signature against invoices received
  6. Set up and operate internet bank transactions
  7. Ensure that cheque books and statements are available as required
  8. Administer all financial transactions with clients, staff and bank
  9. Pay salaries using SAGE payroll and ensure that salaries are properly calculated and that tax and other deductions are properly accounted for.

Reporting:

  1. Produce financial returns for funding bodies
  2. Produce annual returns and trial balance for audit
  3. Work with auditors to produce Annual Financial Reports.
  4. Make returns to Companies House and Charity Commission to meet legal requirements

Board:

  1. Production of quarterly returns for the Board
  2. Produce papers as requested on financial operations and auditing
  3. To attend Board meetings as requested by the Director and or Board members.

General:

  1. To promote the Council’s Equal Opportunities policy.
  2. To participate in the training of staff and trainees as appropriate.
  3. To undertake such training as may be required for the better undertaking of duties.
  4. To work to all legislation and company policy on equal opportunities, health and safety and employment law.
  5. To undertake such duties as may from time to time be allocated by the Director and/or the Board.

Finance Officer – Person Specification

Area / Essential / Desirable
Experience / Managing a small company /organisation’s accounts / Familiarity with the role of the Company Secretary
Use of SAGE computerised accountancy software
Setting and managing budgets
Producing management reports
Producing Financial Statements and Balance Sheets from Trial Balance / Knowledge of Auditing procedures
Familiarity with working in charity sector
Qualifications/Training / AAT or equivalent experience
Skills / Highly Numerate
Other Requirements / Willingness to work as a member of a small staff team / Interest in dance/arts
