Information for coaches

Registration

There is no registration for teams. A copy of the programme will be in your school pack which you will collect on the day. It is the swimmers’ responsibility to attend their scheduled warm up, report to the marshalling and be on the block.

No show-no swim

Heats & Finals will run without a swimmer on the block, if they are not there on time, regardless of reason.

School Pack

Each school pack contains the spectator wristbands, poolside wristbands, certificates and finalist pin badges, all of which should have been previously ordered. Please collect promptly on arrival to the pool.

Clothing

There is a range of clothing specific to the 2017 Finals available to purchase online or directly from Shirtlogos at K2 on the day. They will be located near the main stairs leading up to the viewing gallery. There will be a limited amount of stock available to purchase on the day and if this runs out, Shirtlogos are happy to take orders on the day.The closing date for pre orders to guarantee them being available for pick up on the day will be Friday 28th April. After the event the online shop will remain open for a limited amount of time to order merchandise for delivery to home or school.

Seating (Swimmers)

Swimmers may sit on the benches along the windows and around the pool. Do not cover the vents with towels and bags as this affects the heating and makes it even warmer in the pool area and upstairs where the spectators are seated. Please put bags in lockers.

Warm up schedule

Each Age Group will have 5-8 minutes to warm up with a two minute sprint. Try to warm up on time and in your age group. It may be necessary to start the warm up during the presentations. Listen carefully for announcements.

Organisation for the heats

Swimmers will be called to the Clerks of the Course (marshalling area) near the diving well. Clerks of the Course will be dressed in bright coloured shirts. Swimmers will check in with one person, move to the second person, then along the wall across from the windows to the starting blocks. There will be numbered chairs. We will not allow coaches to follow their swimmers through this process. Drop them off at the first point and please go back to your other swimmers. NO SHOW-NO SWIM. Swimmers may be called ONCE if they are not in the marshalling area, after that, it is up to you to make sure they are at the proper block on time and ready to race.

Parents

Remind parents they must be upstairs only and not on poolside. Parents found on poolside will be asked to leave the premises. As advised earlier, the Promoter will not communicate with the parents, only with coaches. Parents are not to enter the platform or speak to the computer operator at any time.

Warm Down Pool

Unfortunately we are unable to provide a warm down pool during the sessions. Please do not walk or play in the pool area, the floors will be raised and can be unstable

Presentations

All presentations will be held in the Bowls Hall on the ground floor of the K2 complex and not on poolside. Please listen out for the announcements on the day. Swimmers should have proper footwear and have a top and bottoms on for presentations. Those swimmers who are part of a presentation and also in the individual preliminaries can warm up outside their age group, where necessary.

Clearing the poolside

It is imperative that the poolside is kept clean and tidy. There is to be no food on poolside. The girls will be arriving shortly after the conclusion of the Boys’ Finals. Please do not leave bottles or clothing for the K2 staff to clear. It will delay the start of the girl’s event.

Parking

There is parking directly outside K2. K2 has additional parking in the school behind the complex. You should be able to drop off the swimmers and then park. Please tell parents to follow instructions from the K2 parking attendants.

Photography

We are pleased to announce that Mark in Time photography have been appointed as the Professional Sports and Event Photographers for this event. This event, by its very nature, is in the public arena and when entering for the event the participant and their parents acknowledges this fact, which may result in the recording and publication of his/her image. IAPS Pupil Image Policy available on our website details why IAPS takes photographs and how they are used.

If parents would like to take photos, they are welcome to do so in the presentation area as detailed above.

Relays

The number of swimmers on poolside during the relays could potentially be substantial. Once your relay is finished, it would be helpful if the swimmers then leave poolside and wait for results unless they are part of another relay. If your relay is finished, you may go home or get changed. If you are arriving with girls and boys, we will not allow the girls on poolside until the girls’ warm up. You MUST make sure that there is a member of your staff available to supervise girls out of poolside if they are present during the boy’s events. We would expect the girls will arrive with their schools/parents for their event at about 13:30. There will be a crossover of boys and girls so hopefully we can have the boys off poolside by 1330, with 15 minutes to clean up and start the girls at 1400. Please listen for announcements on the day.
