MINUTES – BUSINESS MEETING

October 5, 2005

The Business Meeting was convened by President Jo Cady-Bull a little late this month because we had to wait for a quorum of the Board to be present.

The minutes of the previous meeting were not read because they have been temporarily mislocated.

PRESIDENT’S REPORT:

1. The Challenge quilts are due next week. There may be a space issue at the Quilt Show depending on how many are submitted. The members whose quilts are chosen for hanging will be notified.

2. The contract for the rental of Room 5 in the Education Building was up in September. An executive decision was made to negotiate a new contract to include the Tuesday evening meetings. Based on the high numbers of attendees on Tuesday night, it was felt that this was a successful enterprise. However we did have to negotiate a compromise regarding the library on Tuesday evenings. There is another group that meets across the hallway from 7-9 and, unfortunately, our members tend to be a little noisy when coming and going. It was mutually agreed that our library would be open from 6:15 to 6:45 pm. In addition, we would not be able to use the room at all in November because it is a polling place. Donata will arrange to have a drop-off box available in the main meeting room.

3. The Treasurer’s Report is attached and will be filed for audit.

4. The First Vice President, Jeanne Beahan, will be reviewing all of the Guidelines and By-Laws to remove an ambiguity and to clarify all statements. The Job Descriptions for all Board Members will also be reviewed. With the Tuesday evening meeting now locked in, some positions need to be adapted. If anyone would like to contribute any ideas or suggestions they need to e-mail them to Jeanne.

PROGRAM COMMITTEE REPORT:

Barbara Collins reported that they received a lot of positive feedback about Katie Pasquini-Masopust. The October speaker is Judy Blaton and Barbara clarified that her House in the Garden class is a study in color theory, not the “typical” house quilt.

She also asked that whoever is in charge of the December tea get in touch with her because she needs a floor plan.

QUILT SHOW COMMITTEE REPORT:

Cathy Dargel reported that the quilt appraisal has been completed on the Raffle Quilt. All entries for the show must be postmarked by October 15th. There will be sign-up for Hostessing and other jobs beginning at the October meeting. In order to receive the advance rate on the show CD, members will need to sign up and reserve a copy. The CD’s will cost more at the show, even for Guild members. Two judges have been hired but we don’t know how long the judging will take yet since we don’t know how many quilts there are to be judged. The booth that the Bernina Sewing Center was prepared to give up in order to accommodate others has been returned. Some accommodations were able to be made thru revising the floor plan. The Letter to Vendors will undergo a major revision to clarify admission/acceptance requirements. So far the committee feels comfortable in guaranteeing one entry per member. The only question is whether or not the hanging structures can support a 45# framed entry!

MEMBERS AT LARGE REPORT: No report.

ANNOUNCEMENTS:

1. The Nominating Committee needs to be in place by the November meeting (there have been some volunteers already).

2. Quilt Selection Committee needs volunteers to review submitted quilt designs for the 2007 raffle quilt. The designs are due to the Committee by the December meeting. They will review submissions and submit the selected designs to the Guild members for a vote in February.

COMMITTEE REPORTS:

Bears – The bears are due back to them in November/December.

Bees -- Mary Lou Hartline would like some space Tuesday nights. And there is a new evening bee in the Ina and Oracle area.

Block of the Month -- Evelyn George showed the Thanksgiving Table block for November.

Bulletin Board – No report

Corresponding Secretary -- Mail was picked up and distributed.

Database -- There are 659 paid members now.

Publicity – No report

Storeroom – No report

Membership -- They are working on scheduling a New Member Tea.

Donations -- A few requests are coming in. The Committee developed a brochure this year to send out. This process gave them a late start and the due date was extended. Requests will be reviewed and voted on at the December business meeting.

Education -- Beth Magnon presented an event at The Cascades in September.

History – No report

Holiday Block Exchange – They are due in December.

Hospitality – No report

Library -- Donata Pfisterer and Kathryn Wald are aware of the Tuesday evening scheduled and will work with it.

Newsletter -- Kathy Smith apologized for the errors such as the outdated Committee List and omission of the BOM. A revised edition is available on the web site. Approximately half of the members receive their newsletter via e-mail.

Placemats -- Karen Fisher has advised the President that she will have tickets for a quilt raffle to benefit Mobile Meals. There was some discussion regarding the proper procedure regarding raffle quilts which is to present the request at a Business Meeting for approval. Since Karen did not follow protocol she will be advised that she needs to present her request at a Business Meeting before she can sell the tickets.

Quilting for Others – Mary Bazzano will present the 2005 Angel Charity Quilt to Susan Rogers at the Wednesday morning meeting. Cathy Dargel has fabric for the angel blocks for the 2006 quilt. Mary Lou Hartline said that she had been contacted by the Red Cross who would like to raffle off a quilt. Anyone or any group in the Guild could make the quilt. Her request will be turned over to Virginia Howard as she may have one that would be suitable. Sometimes some of the quilts may be held back for requests such as this.

Tote Bags – Are still available.

Web Site – Meg Stoller has created a password protected area on our web site. Currently this area only contains our newsletter. There was some discussion about adding other items such as minutes, membership roster, etc. Barbara Collin’s made the following motion which was seconded by Cass Wensel:

All minutes of the Guild Business Meetings, General Meetings, Executive Board Meetings, Membership Rosters, By-Laws and Guidelines be placed in the password-protected area of the Guild Website.

There was some discussion regarding who would approve the items that were placed in that area. Currently Meg is the only person that can access the website. Requests probably need to come before the Business Meeting for discussion. The motion was approved as made.

OLD BUSINESS:

The President reminded members that next year is the Guild’s 30th anniversary. The month that it would be the easiest to schedule something would be the December holiday tea meeting. Members can e-mail Jo with suggestions. There was no committee until Kenci Lewis volunteered (at this meeting) to head the committee. A suggestion was made to see if we could include/invite the original chartered members of the Guild. There was also a suggestion that we could celebrate in the month of July instead of having the Round Robin.

Cass Wensel expressed concern regarding changes/increases being made to budget items. The President explained that a Budget meeting was held in February to determine a budget that was presented to the Guild as a whole for a vote at the March General Meeting. If a committee wanted to petition to exceed their budget they were required to present a request both the Business Meeting and the General Meeting for approval.

NEW BUSINESS:

Pam Morris presented a request via Kathy McCulloch to sell raffle tickets for a quilted wall hanging to benefit the Arizona Ballet in October/November. Barbara Collins made a motion which was seconded by Cathy Dargel:

That Pat Morris be allowed to sell raffle tickets at the October & November meetings for a quilted wall hanging to benefit the Arizona Ballet.

The motion was approved.

Barbara Angerhofer requested permission to sell raffle tickets for a quilt to benefit the Catalina Foothills HS Band who have been invited to march in the Macy’s Thanksgiving Day parade. The quilt would be raffled off in May, 2006. Barbara Collins made the following motion that was seconded by Cass Wensel:

That Barbara Angerhofer be allowed to sell raffle tickets beginning with the February & March, 2006 meetings for a quilt to benefit the Catalina Foothills High School Marching Band.

The motion was approved.

Sue Burns proposed the idea of a Rummage Sale. The sale would be held after a general meeting (to be determined) and must be the member’s own stuff. Members would need to register for space and it would be up to each member to price and tag their items and to be prepared to make change. A good month to have such a sale would be a month without a speaker, such as December. Sue Burns made the following motion which was seconded by Carol Coniff:

That a Rummage Sale be held immediately following the adjournment of both the Tuesday evening and Wednesday morning meetings in December.

The motion was approved and Sue Burns volunteered to organize it.
